About The Position

The Corporate Services Coordinator plays a key role in delivering exceptional workplace and operational support that enables a seamless employee and visitor experience. This role contributes to the efficiency and effectiveness of Corporate Services by coordinating day-to-day office operations, workplace services, and administrative activities.

Requirements

  • One to three years of experience in corporate services, facilities coordination, office administration, workplace operations, or a related field.
  • Post-secondary education in Facilities Management, Office Administration, or a related discipline.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Working knowledge of workplace operations, building maintenance processes, vendor management, and basic budgeting principles.
  • A strong communicator with exceptional interpersonal skills and the ability to build positive working relationships across all levels of the organization.
  • Comfortable collaborating with employees, leaders, vendors, and external service providers in a professional and service-oriented manner.
  • Highly organized with strong planning, coordination, and time management skills.
  • A proactive and resourceful professional who demonstrates initiative, accountability, and sound judgment.
  • Able to manage multiple priorities in a fast-paced environment while maintaining accuracy and attention to detail.
  • Skilled in developing, maintaining, and analyzing tracking spreadsheets, reports, and operational data.
  • Customer-focused with a commitment to delivering a positive workplace experience and high-quality service.

Nice To Haves

  • Facilities-related certifications and/or designations (e.g., IFMA, BOMI) are considered an asset.
  • Experience using accounting, expense management, or procurement systems (e.g., SAP Concur) is an asset.

Responsibilities

  • Serve as a key point of contact, delivering responsive and professional support to employees, consultants, and visitors.
  • Supporting building operations-related requests submitted through Corporate Services Help Desk.
  • Assist Corporate Services Manager to document and maintain Corporate Services SOPs.
  • Maintain contact files for Corporate Services department.
  • Prepare routine reports, including occupancy data and other departmental metrics, as required.
  • Conduct new hire orientations and building tours.
  • Provide back-up coverage at reception as needed.
  • Provide general support and complete other duties assigned with an effort to build collaborative working relationships across departments and teams.
  • Assist in managing maintenance requests (office furniture repairs, climate control, burnt out light bulbs etc.).
  • Conduct building inspection at least two times a week to proactively identify facility-related issue and reporting noted deficiencies to Corporate Services Manager.
  • Coordinate and oversee service vendors supporting building operations and maintenance, including HVAC, mechanical, electrical, elevator systems, waste management, and general building repairs.
  • Assist Corporate Services Manager in managing FindMe/office floor plans.
  • Support workplace relocation and office move activities as required.
  • Assist Corporate Services Manager in managing desk booking and seat allocation to employees.
  • Process and upload facilities and utilities-related invoices to Concur Invoice with proper coding.
  • Order general facilities supplies on a monthly and ad-hoc basis including cleaning supplies.
  • Review expense reports and re-class as required.
  • Produce Purchase Requests.
  • Liaise with vendors on scheduling of services, requests, and billing.
  • Assist with the creation of employee and consultant access badges, as needed.
  • Coordination of security equipment maintenance.
  • Assist with after office hours security and/or facilities inquiries.
  • Support on-site events in partnership with internal stakeholders helping to deliver positive and engaging experiences.
  • On-site event coordination in partnership with internal stakeholders.
  • Coordination of employee ergonomic assessments.
  • Monthly inspection of all on-site health and safety supplies and equipment.
  • Support Health & Safety committee and Fire Warden program by participating in committee meetings, inspections, and related events.
