About The Position

The Coordinator, Compliance Unit plays a central operational and administrative role within the Compliance, Rules and Standards department. The position supports the planning, coordination, implementation, and continuous improvement of WADA’s global compliance monitoring and enforcement activities. Working closely with internal departments and external stakeholders, the Coordinator contributes to the effective delivery of compliance initiatives, governance processes, data management practices, and committee operations. The role requires strong organizational capabilities, sound judgment, attention to detail, and the ability to manage multiple priorities in a dynamic international environment. The Coordinator also serves as an important liaison between the Compliance Unit and key internal partners including Information Technology, Data Insights, Communications, Finance, and Legal Affairs to ensure efficient operational support and alignment across projects and strategic initiatives.

Requirements

  • Bachelor’s degree required, preferably in public administration, or a related field
  • Strong organizational and coordination skills with the ability to manage multiple priorities and deadlines simultaneously
  • Demonstrated ability to work effectively in a collaborative and multicultural environment with a wide range of stakeholders
  • Excellent interpersonal, analytical, and problem-solving skills
  • Experience drafting reports, correspondence, meeting summaries, and professional documentation
  • Experience supporting projects, operational processes, or program coordination activities
  • Strong proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Teams, and Outlook
  • High level of professionalism, discretion, and attention to detail
  • Excellent oral and written skills in one of the two WADA official languages (English/French) and very good command of the other official language

Nice To Haves

  • Knowledge of quality management systems and ISO9001:2015 standards is considered an asset
  • Experience working in an international organization or global environment is an asset
  • Familiarity with the international sports environment and anti-doping landscape is considered an advantage

Responsibilities

  • Support the operational delivery and ongoing enhancement of WADA’s compliance monitoring and enforcement program in alignment with the World Anti-Doping Code and International Standards
  • Coordinate activities related to compliance assessments, reporting processes, and follow-up actions involving Code Signatories and relevant stakeholders
  • Assist in tracking compliance-related deliverables, timelines, and documentation to ensure efficient program execution
  • Contribute to the development and implementation of internal procedures, workflows, and process improvements within the Compliance Unit
  • Coordinate all activities related to the maintenance and annual recertification of the ISO9001:2015 certification for WADA’s compliance monitoring program
  • Monitor quality management processes and support internal audits, corrective actions, and continuous improvement initiatives
  • Maintain organized records and documentation required for certification and audit purposes
  • Coordinate logistical and administrative preparations for Compliance Review Committee and Compliance Taskforce meetings, including document distribution, scheduling, and meeting follow-up
  • Prepare briefing materials, presentations, and supporting documentation for committee activities
  • Draft when requested action items, and follow-up notes to support effective decision-making and accountability
  • Collaborate with relevant staff to ensure timely completion of post-meeting deliverables
  • Serve as a primary point of contact for general compliance-related inquiries and correspondence received through shared communication channels
  • Coordinate responses and ensure inquiries are directed appropriately and addressed in a timely manner
  • Support communications and coordination with Code Signatories, external organizations, and internal stakeholders
  • Assist in the management of the “Other Organizations” category of Code Signatories, including correspondence, fee coordination, onboarding activities, and updates to official records and website information
  • Liaise with Information Technology and Data Insights teams regarding compliance-related systems, databases, reporting tools, and special projects
  • Support initiatives aimed at improving information management, document storage practices, operational efficiency, and data accessibility
  • Coordinate with Communications teams regarding website updates and publication of compliance-related information, where applicable
  • Ensure accurate maintenance of compliance data, communications and records, development of tracking systems and related documentation
  • Monitor and coordinate administrative and financial activities associated with Compliance Review Committee operations, including expense tracking and committee member indemnities
  • Work collaboratively with the Finance Department to ensure accurate processing and reporting of expenditures
  • Support budgeting, procurement coordination, and operational planning activities as required
  • Participate in special projects, strategic initiatives, and cross-functional working groups related to compliance and organizational priorities
  • Provide operational and administrative support to the Director, Compliance, Rules and Standards, the Associate Director, Compliance Unit, Compliance, Rules and Standards and the Compliance Unit management team as needed
  • Perform other related duties consistent with the scope and responsibilities of the role
  • Other duties and special projects as requested by the Director, Compliance, Rules and Standards, the Associate Director, Compliance Unit, Compliance, Rules and Standards and the Senior Managers and Managers, Compliance Unit
