About The Position

South Louisiana Community College is seeking a Coordinator for College Reach Out & Academic Affairs within the Academic & Student Affairs Department. This Unclassified - Administrative/Staff position focuses on maintaining day-to-day operational efficiency for Distance Education (DE) functions, ensuring adherence to college policies, and standardizing DE processes. The role involves managing DE software systems, coordinating with various internal departments, supporting DE faculty, and maintaining accurate documentation. Additionally, the position plays a key role in processing dual enrollment applications, providing data support for academic affairs systems, and ensuring the proper credentialing of dual enrollment instructors. The coordinator will also manage MOUs, assist with student transcript requests, and maintain contact lists for dual enrollment stakeholders. Collaboration with Enrollment Management and Academic Affairs is crucial for monitoring trends and supporting curriculum development. The role also involves conducting data audits, ensuring alignment with the college catalog, and supporting system updates. Requirements

  • Associate's Degree with one year of related experience.
  • Proficiency in Microsoft Excel, including data entry, basic formulas, formatting, and reporting functions (e.g., sorting, filtering, pivot tables)

  • Proven ability to manage multiple projects simultaneously and prioritize tasks effectively in a fast-paced environment

Responsibilities

  • Maintain day-to-day operational efficiency across all DE functions.
  • Ensure college policies and procedures related to admissions, registration, billing, and program completion are followed.
  • Assist in standardizing DE processes, including admissions, enrollment, registration, billing, graduation, and related areas.
  • Stay current on relevant policies, regulations, and funding sources, including updates from Perkins, 2.0 Pathways, SCA, TOPS Tech, and the Workforce Commission.
  • Work with the Director to maintain a comprehensive manual of standardized DE procedures.
  • Manage the input and upkeep of DE attributes in Banner in coordination with Admissions and Student Accounts.
  • Oversee the DE software system (Canusia) to ensure timely enrollment each semester.
  • Maintain and update the DE Hire Orientation Packet.
  • Collaborate with internal offices—including Admissions, Registrar, Financial Aid, Orientation, and Testing—to ensure accurate and efficient DE operations.
  • Support Academic Affairs by ensuring DE faculty are properly credentialed, observed, and provided appropriate instructional resources.
  • Monitor and maintain accurate documentation and records to support compliance and reporting.
  • Process dual enrollment applications in accordance with all policies and eligibility requirements.
  • Provide data support for academic affairs systems, including but not limited to retention (ConexEd, Degree Works,) integrity (maxient), and the college catalog.
  • Build and maintain DE courses in SIS and DE software systems.
  • Ensure proper credentialing of dual enrollment instructors.
  • Verify student eligibility, contact hours,, and credit hours in coordination with high schools.
  • Ensure parent/guardian signatures are obtained for DE enrollment packets.
  • Prepare files for Banner uploads and assist with uploads as needed.
  • Verify course rosters with high school instructors, update DE software, and store signed rosters in OneDrive.
  • Provide roster updates to the Registrar's Office, including drops and adds.
  • Ensure proper withdrawal procedures are followed and notify appropriate SoLAcc offices.
  • Support Student Accounts with processes for Top Tech funding and DE billing.
  • Update the state-wide payment portal annually and archive prior-year data.
  • Ensure MOUs with school districts are completed, signed, and appropriately filed.
  • Assist with DE student transcript requests.
  • Coordinate processes for home school dual enrollment students.
  • Maintain updated DE contact lists for counselors, instructors, gatekeepers, superintendents, and principals.
  • Track DE sites and program-level distribution of course offerings.
  • Maintain the dual enrollment email account and distribute essential program communications.
  • Coordinate appointments, meetings, and travel for the Director and Assistant Director.
  • Work closely with Enrollment Management to monitor dual enrollment trends.
  • Support updates to DE materials and submit website changes to ensure accuracy and clarity.
  • Develop and maintain DE surveys as needed.
  • Conduct regular audits and quality checks to ensure accuracy of curriculum, program, and student data across the college catalog and academic affairs software.
  • Maintain alignment between the official college catalog and degree management to ensure accurate degree requirements and advising tools.
  • Support system updates, term rollovers, and catalog changes to ensure timely and accurate data integration.
  • Develop and document standardized procedures for data management and cross-system updates.
  • Monitor system reports and user feedback to proactively identify and resolve data discrepancies.
  • Ensure compliance with institutional policies and data governance standards across all student information systems.
  • Ensure clear and consistent communication between DE faculty and academic department chairs.
  • Collaborate with Academic Affairs, Student Services, Registrar, Institutional Effectiveness, and other units to support reporting, monitoring, and data accuracy.
  • Partner with Academic Affairs and Deans to support curriculum alignment and the development of short-term pathways, IBC pathways, and other initiatives.
  • Coordinate information-sharing and problem-solving across departments to support smooth dual enrollment operations.
  • Work with Student Accounts, Orientation, Admissions, Testing, and campus services to ensure seamless support for DE students.
  • Coordinate with system administrators and vendors to troubleshoot issues and implement improvements.
