About The Position

The Executive Office Division of the American College of Physicians (ACP) is seeking a candidate for the position of Board of Governance (BOG) Coordinator for the BOG Activities department. ACP, a national organization of internal medicine physicians with headquarters in Philadelphia, is the largest medical specialty organization and the second-largest physician group in the United States with more than 163,000 members worldwide. The BOG Coordinator is responsible for providing operational and administrative support for governance activities, supporting the administration and implementation of grant-funded programs, and assisting with chapter alignment implementation and other strategic projects. This is a hybrid position (2 days on-site) located in our Philadelphia office.

Requirements

  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Demonstrated ability to build positive relationships and communicate effectively with diverse stakeholders, providing excellent customer service while representing the organization in a professional manner.
  • Excellent written, verbal, and interpersonal communication skills, including proofreading and professional correspondence.
  • Strong attention to detail and the ability to maintain accurate records, reports, and tracking systems
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint
  • Ability to work independently, exercise sound judgment, and manage confidential information with discretion.

Nice To Haves

  • College degree preferred.
  • Experience supporting grant-funded programs, grant administration, application review processes, or compliance tracking (Strongly Preferred).
  • Experience supporting volunteer leaders, governance activities, or nonprofit organizations (Preferred).
  • Experience with content management systems, Adobe Acrobat, Zoom, or database systems (Preferred).

Responsibilities

  • Preparing orientation materials and maintaining governance resources for new Governors.
  • Scheduling orientation sessions, tracking participation, and follow-up activities.
  • Supporting onboarding and engagement of Council Representatives by maintaining assignments, distributing resources, coordinating communications, and assisting with orientation and training activities.
  • Supporting Governance communication and information-sharing through platforms such as LeaderNet, meeting applications, and other communication channels.
  • Supporting grant application and review processes, including application management, reviewer recruitment and coordination, scoring activities, meeting logistics, and applicant communication.
  • Assisting with preparation and execution of grant-related meetings and events, including agenda development, meeting materials, housing, catering, audiovisual coordination, and attendee communications.
  • Monitoring and maintaining grant budgets, funding allocations, expenditures, payment schedules, and financial tracking tools and related documentation to support compliance with program and organizational requirements.
  • Supporting implementation of chapter alignment programs by coordinating project plans, communications, meeting logistics, documentation, and follow-up actions.
  • Coordinating the collection, organization, and maintenance of data, reports, and documentation used to inform chapter alignment planning, implementation, and evaluation activities.
  • Preparing reports, presentations, background materials, and meeting resources to support decision-making and implementation of chapter alignment and other strategic programs.
