About The Position

The Coordinator of Art Access welcomes prekindergarten through twelfth-grade school groups to the High Museum of Art. This position coordinates the daily arrival and on-site experience of school field trip groups, ensuring that all students and teachers feel welcomed, prepared, and supported. The coordinator serves as one of the key liaisons between school groups, docents, teaching artists, and internal departments, ensuring smooth logistics and meaningful engagement. This role focuses primarily on the Art Access program, which provides accessible pathways to the museum for schools that receive Title 1 funding, as well as school district partners and community organizations that work with schools that receive Title 1 funding. Part of the High’s Learning and Civic Engagement department, this role cultivates growth through inquiry and connection to self, others, and the wider world, in alignment with the museum’s mission, values, and educational methods.

  • 2–3 years of experience in customer service, education, or program coordination required.
  • Undergraduate degree or equivalent experience in education, visual arts, or related field preferred.
  • Experience working with Title I schools or access-focused initiatives strongly preferred.
  • Strong writing skills.
  • Strong public speaking skills, comfortable speaking to groups.
  • Basic math and numerical reasoning skills for data accuracy, measurements, and record keeping.
  • Ability to use basic math skills for tracking, organizing, and verifying information.

Responsibilities

  • Serve as a primary on-site contact for school group arrivals and departures.
  • Coordinate daily fieldtrip logistics, including check-in, orientation, and group flow throughout the museum.
  • Greet and orient teachers, students, and chaperones to ensure a welcoming and organized experience.
  • Collaborate with Education division colleagues and Coordinator of Gallery Learning, as well as Guest Relations, Security, Housekeeping, Special Events, and other departments to ensure logistically smooth group entry and movement.
  • Assign and connect school groups with docents and teaching artists.
  • Troubleshoot real-time scheduling or logistical issues with professionalism and solutions-oriented mindset.
  • Maintain daily schedules and ensure all stakeholders are informed of changes or updates.
  • Serve as primary contact for participating partner schools, building strong, supportive relationships.
  • Track participation data and support reporting on program impact and reach.
  • Support group booking processes, including confirming reservations and maintaining accurate records.
  • Administer Art Access program, alongside members of the Education team, including application, enrollment, and communication processes.
  • Manage Art Access program materials to educators, including ordering and maintaining supplies.
  • Coordinate bus reimbursement logistics and maintain accurate financial records for the Art Access program.
  • Communicate with schools in advance of visits to confirm logistics and expectations.
  • Track attendance and prepare reports related to school visits with accuracy and efficiency.
  • Coordinate post-visit surveys and accurately report on data findings.
  • Work closely with the Education team to align fieldtrip logistics with program goals.
  • Support training and communication with docents and teaching artists related to group management.
  • Assist with departmental administrative tasks including scheduling, documentation, and supply coordination.
  • Participate in Learning and Civic Engagement department meetings and support programs and special events.
