About The Position

The Department of Earth and Planetary Sciences is seeking a reliable and personable administrative professional to join the team as an Academic Coordinator. This position supports the Department Administrator and the daily administrative needs of the department. The final salary for this position is dependent upon total Education and Experience. Each day in the position may vary based on departmental needs, so flexibility and organization skills are critical to success.

Requirements

  • High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Responsibilities

  • Serves as a principal liaison between students and/or faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative issues. Resolves administrative problems, as appropriate, and/or refers problems to key faculty or staff for resolution.
  • Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to timekeeping and payroll, undergraduate employment, seminar and faculty travel, inventory, reimbursements, and/or purchasing.
  • Collects and analyzes data; prepares scheduled and special reports and statistical information; maintains records and documentation, tracks student progress through the program for completion of requirements; coordinates information required for program operations.
  • Coordinates and/or facilitates seminars, meetings, special projects, departmental events, faculty/staff searches, and evaluates the success of these events.
  • Performs or delegates clerical and administrative support tasks, including creating and editing correspondence, academic course scheduling and/or catalog edits, web pages including departmental social media presence, purchasing documents, reports, program handbooks, and other related publications.
  • May coordinate the activities of support staff, consultants, faculty, and/or volunteers engaged in implementation and administration of unit objectives.
  • Supervise and train student office employees, volunteers, and/or interns, as appropriate.
  • Performs miscellaneous job-related duties as assigned.
