About The Position

This position is responsible for managing the full lifecycle of Space Florida contracts, encompassing specific projects and services agreements from initial development through final closeout. The role involves analyzing contract requirements, preparing various agreements, maintaining records in a Contract Management System, and ensuring compliance with laws, regulations, and corporate policies. The Contracts Manager will also conduct due diligence, review deliverables, maintain contract files, and prepare contract closeouts. Additionally, the position requires responding to inquiries, resolving contract administration issues, negotiating terms, and briefing management on contract developments. The role also involves assisting in monitoring contract obligations and performing other assigned duties. This job does not have supervisory responsibilities.

Requirements

  • Five (5) years’ progressively responsible experience in contracts administration, procurement, government contracting or legal/compliance support.
  • Ability to draft contracts and be detail oriented.
  • Ability to effectively manage multiple work assignments simultaneously while consistently meeting critical deadlines.
  • Demonstrates excellent oral and written communication skills.
  • Demonstrates strong analytical and organizational skills.
  • Ability to cultivate and maintain effective working relationships with both internal and external stakeholders.
  • Ability to work independently and exercises a proactive approach to ensure all deliverables are completed on or ahead of schedule.
  • Proficiency in Microsoft Office Suite is required, including Word and Excel, with a minimum of intermediate-level competency across applications; ability to use contract management software.

Nice To Haves

  • Previous experience in the aerospace, aviation, government, or public-sector contracting environments highly desirable.
  • Certified Professional Contracts Manager (CPCM) highly desirable.
  • Formal education may substitute for up to three (3) years of the experience requirement.

Responsibilities

  • Demonstrates knowledge and understanding of contracting principles.
  • Analyzes contract requirements, special provisions and terms and conditions to ensure compliance with appropriate laws, regulations and corporate policies and procedures.
  • Responsible for the preparation or processing of subleases, subcontracts, vendor agreements, consultant agreements, NDAs, and MOUs and any other agreements assigned.
  • Responsible for inputting and maintaining accurate, up-to-date records within the Contract Management System for all contract actions. Ensures the system is utilized effectively to store and retrieve contract documentation, track contract status, and generate timely reports on upcoming renewals and expirations.
  • Performs full range of contract administration, to include monitoring for contractual compliance from proposal development through contract closeout.
  • Conducts due diligence research through Sunbiz and other government sites to verify and validate the standing of tenants, contractors, subcontractors, vendors, and consultants.
  • Responsible for notifying all applicable parties of new contracts, modifications, renewals, subcontracts, subleases, and other critical actions affecting subleases, contracts, and subcontracts through timely email distribution.
  • Reviews and routes subcontractor, vendor, and consultant deliverables to ensure accuracy and compliance with the terms of their corresponding agreements.
  • Maintains official contract files to include the original contract, all correspondence and supporting documents, amendments, deliverables and contract compliance requirements.
  • Prepares contract closeouts by reviewing all relevant documentation and coordinating with the Project Controller and Project Manager to ensure all necessary information is obtained and accurately captured.
  • Maintains and distributes official contract documents upon execution to all applicable parties.
  • Responds to inquiries and provides comprehensive reports containing all requested contract data, while analyzing incoming correspondence to identify and facilitate required actions.
  • Researches and resolves issues related to day-to-day contract administration and associated operational challenges; negotiates terms and conditions.
  • Responsible for preparing and delivering comprehensive briefings to management on updated contract documents and relevant developments.
  • Assists in monitoring and tracking contract obligations to ensure compliance with established contract requirements.
  • Other duties as assigned.
