About The Position

The Contracts Administrator will play a critical role in ensuring the compliance and accuracy of contract management processes. This position involves reviewing contracts, updating contract values, and setting up new projects with precise entry of project information. The administrator will also manage insurance certificates and ensure compliance with federal, state, and local lien laws, while providing vital support to Project Managers and field personnel.

Requirements

  • Proficiency in general ledger, construction, and data entry.
  • Experience with accounting and construction processes.
  • Familiarity with Sage 300, customer service, accounts payable, and job costing.
  • Experience in contract management and compliance.
  • Ability to manage multiple tasks and projects simultaneously.
  • Strong attention to detail and organizational skills.

Responsibilities

  • Review contracts to ensure compliance with terms and conditions and provide required documentation.
  • Update contract values and verify projects are established correctly within company systems.
  • Perform new job and AAW setup, ensuring accurate entry of project information, contract values, and billing requirements.
  • Record contract cost estimates and update revisions to cost code estimates within the accounting system.
  • Issue required insurance certificates to clients.
  • Gather data and prepare Owner Controlled Insurance Program (OCIP) enrollments and monthly reporting.
  • Ensure compliance with federal, state, and local lien laws by monitoring regulatory changes and advising management on obligations.
  • File all lien requirements including Notices to Owner, Notices of Commencement, Notices of Non-Payment, and related documentation.
  • Review bonding requirements and coordinate issuance of payment and performance bonds.
  • Review and approve certified payroll reports for accuracy and completeness.
  • Provide backup support for certified payroll processing and submittits.
  • Review and establish profiles for new clients, performing credit reviews and obtaining necessary documentation for account approval.
  • Prepare and complete contractor prequalification packages and supporting documentation.
