About The Position

For 35+ years we’ve been providing innovative ticketing software solutions to some pretty cool industries including amusement parks, museums, attractions, zoos, and aquariums. We work with globally recognized destinations as well as lesser-known but locally loved attractions on six continents. Now, we are looking to add a Contracts Administrator to our team. The Contracts Administrator is an integral member of the Contracts Team that supports the smooth day-to-day coordination and execution of contracts and other corporate documents. Primary responsibilities include the creation, review, and contract lifecycle management of a variety of contracts such as services and consulting agreements, technology and support agreements, and partner and vendor agreements. Workflow management and document management are key responsibilities in this role to ensure proper prioritization and timely completion of contracts and to document, maintain, and disseminate necessary details from new and existing contracts in an efficient manner. Additional responsibilities include creation and ongoing maintenance of process documentation, templates, and other team and company materials, as well as participation in process improvement efforts. This position is in-office and must be able to commute to the Gilbertsville, PA office five days a week.

Requirements

  • B.S. Degree in Business or related area of study (or equivalent work experience)
  • Minimum of 3 to 5 years’ experience in contract administration and coordination, including drafting business-to-business contracts.
  • Basic knowledge of standard contractual processes
  • Ability to work independently with minimal supervision
  • Excellent interpersonal and communications skills, both oral and written, with ability to efficiently and accurately convey meaning to knowledge-based personnel and all levels of management, keeping a professional demeanor at all times
  • Strong work ethic, superior organizational skills
  • Strong track record of coordinating multiple tasks and initiatives simultaneously, meeting deadlines, and working productively and efficiently in a fast-paced environment, with ability to prioritize tasks based on company priorities
  • Strong analytical skills, with a high attention to detail. Accuracy and an eye for detail are vital to the success of the Contracts Team, including high degree of accuracy when entering data.
  • Experience in drafting, revising, and advising on a variety of contract types and transactions, negotiating basic in line with business parameters, when needed
  • Ability to work both in a team environment and on an individual basis to successfully complete projects
  • Strong commitment to do what is right for the customer, offering the appropriate solution for the task and exhibiting professionalism and diplomacy when working with all manner of customers
  • Ability to solve problems in a timely and efficient manner, while demonstrating sound judgment
  • Strong technical skills, with a demonstrated proficiency in Microsoft Office programs (MS Word, MS Excel, MS Outlook, MS Powerpoint), Docusign (or other e-signing platform), and Adobe.

Responsibilities

  • Serve as part of the Contracts Team, which handles all contractual matters. As part of this team, act as contractual liaison within the company and with its customers and vendors, as appropriate.
  • Understand internal and external expectations and utilize that knowledge to manage workflow of requests, from document intake through circulation of fully executed document within documented KPIs or other targets.
  • Ensure timely and accurate creation of contracts, review (when needed), and approval/reconciliation of variations from Gateway’s business parameters.
  • Ensure contract execution in accordance with Gateway company policies and assist in preparation for contract handoff meetings to cascade contract provisions/requirements (where appropriate).
  • Review of purchase order terms and conditions in accordance with company policy.
  • Develop and maintain relationships with other team members, customers, and vendors, as appropriate.
  • Provide guidance on contract queries of basic complexity from internal and external customers. Assist in guiding internal stakeholders in understanding and interpreting contract terms, as needed.
  • Analyze and maintain contractual records and documentation, including saving of documents, updating applicable systems and repositories with applicable details and/or terms, and routing documents internally and externally.
  • Leveraging documented business parameters, provide recommendations for contract modifications in order to reach contract consensus with customers, partners, and vendors, with assistance from Senior Contracts Manager and/or outside counsel as needed for complex provisions/negotiations.
  • Assist with creation, maintenance, and revisions to contract templates, process documentation, Contracts Team Knowledgebase, and other contract-related documentation and resources, ensuring each is kept up to date and accurately reflects current processes.
  • Negotiate provisions of basic complexity to ensure contracts are consistent with Gateway’s contract principles and parameters, with assistance from Senior Contracts Manager and/or outside counsel as needed for more complex provisions/negotiations.
  • Participate in process improvement initiatives within the Contracts Team, as directed by management.
  • Provide Contracts Team support and assistance to complete other contract and/or corporate responsibilities, ad hoc requests, and special projects, as assigned by management.
