About The Position

Join a mission-driven organization that supports Civil Air Patrol’s nationwide operations! We’re seeking a Contracting Administrator to support the Contracting Director by administering contract actions across the procurement and agreement lifecycle for Civil Air Patrol (CAP) National Headquarters, regions, and wings. The position reviews requests for completeness and compliance, coordinates with internal stakeholders, maintains audit-ready contract files, supports solicitations and awards, tracks contract status, and helps ensure contract actions are processed in a timely, consistent, and defensible manner. Salary Range: $68,000 – $85,000 (annually), based on experience and qualifications.

Requirements

  • Associate's degree in business administration, finance, accounting, acquisition, contract management, public administration, law, or a related field. Equivalent directly related contracting, procurement, acquisition, purchasing, or contract administration experience may be substituted for education requirements.
  • Minimum three years of experience in contracting, procurement, acquisition, purchasing, vendor management, contract administration, grants administration, or a closely related business operations field.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Strong organizational skills with demonstrated attention to detail.
  • Strong analytical skills, with the ability to synthesize quantitative and qualitative data from multiple sources.
  • Strong written and verbal communication skills.
  • Demonstrated ability to collaborate effectively with individuals at all organizational levels.
  • Ability to manage multiple priorities simultaneously in a fast-paced, compliance-driven environment.
  • Ability to review, analyze, and validate procurement and contract documentation for completeness, accuracy, and compliance with applicable policies and procedures.
  • Valid driver’s license
  • The successful completion of a comprehensive background check is mandatory for this role.

Responsibilities

  • Manage intake, tracking, validation, and routing of contract and procurement requests, ensuring packages are complete, accurate, properly documented, and ready for review or action by the Contracting Director.
  • Support competitive and sole-source acquisition actions by organizing source documentation, maintaining price reasonableness files, documenting competition or exception rationale, and preparing contract file notes for review.
  • Maintain contract files, repositories, logs, checklists, and records retention practices to support audit readiness, internal reporting, transparency, and lifecycle visibility across the contract portfolio.
  • Coordinate with General Counsel, Financial Management, Logistics, program offices, regions, wings, vendors, and other stakeholders to resolve documentation gaps, clarify requirements, and keep actions moving without bypassing compliance requirements.
  • Provide customer-facing guidance to CAP personnel on contract submission requirements, documentation standards, process expectations, and use of approved templates, checklists, workflow tools, and job aids.
  • Support development and improvement of contracting standard operating procedures (SOP), training materials, process maps, templates, forms, and internal controls that standardize the contracting process and reduce administrative burden on field users.
