About The Position

The Contracts Administrator is responsible for reviewing, negotiating, and administering a variety of commercial contracts while ensuring compliance with company policies, legal requirements, and risk management standards. This position serves as a key business partner to Sales, Operations, and Leadership by identifying contractual risks, facilitating negotiations, and supporting the successful execution of customer, subcontractor and supplier agreements. The Contracts Administrator manages the contract lifecycle from request through execution and administration, ensuring contracts accurately reflect business terms and protect the company's interests.

Requirements

  • Strong understanding of commercial contracting principles and risk allocation.
  • Working knowledge of: Indemnity provisions, Insurance requirements, Limitation of liability clauses, Payment and retainage provisions, Warranty obligations, Change order processes, Confidentiality agreements, Commercial dispute resolution provisions.
  • Ability to identify contractual risks and recommend practical business solutions.
  • Strong analytical, negotiation, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and organizational abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Ability to handle confidential and commercially sensitive information with discretion.

  • Proficiency in Microsoft Office Suite and Contract Lifecycle Management (CLM) systems such as Agiloft, Ironclad, DocuSign CLM, or similar platforms.
  • Minimum of 2 years of experience in contract administration, contract management, legal operations, procurement, project administration, or a related field.
  • Must be able to travel domestically up to 15–20% annually.
  • Must possess a valid driver's license and maintain an acceptable driving record.
  • Must successfully pass a background check and drug/alcohol screening.
  • Must be authorized to work in the United States.
  • Must be able to work a minimum of 40 hours per week.
  • Must be able to commute to the Downers Grove, Illinois office.

Nice To Haves

  • Experience reviewing and negotiating commercial agreements preferred.
  • Experience within construction, industrial services, logistics, supply chain, or project-based industries preferred.
  • Bachelor's degree in Business Administration, Legal Studies, Contract Management, Supply Chain, Paralegal Studies, or a related field preferred.
  • Equivalent combinations of education, training, and relevant experience may be considered.
  • Certification as a Notary Public commissioned by the State of Illinois is preferred, but not required.

Responsibilities

  • Support the Contracts Manager in reviewing, analyzing, drafting, and negotiating customer, subcontractor and vendor agreements.
  • Complete customer prequalification and vendor set-ups, vendor credit applications and similar compliance documentation.
  • Prepare contract redlines and coordinate negotiations with customers, suppliers, and business partners.
  • Ensure contracts comply with company policies, risk management standards, and approved contracting guidelines.
  • Escalate non-standard terms, significant risks, and legal concerns to the Contracts Manager and legal counsel, as appropriate.
  • Maintain accurate contract records within the Contract Lifecycle Management (CLM) system.
  • Track contract status, approvals, execution requirements, renewal dates, amendments, and key contractual obligations.
  • Evaluate contractual provisions including: Indemnification, Limitation of Liability, Insurance Requirements, Payment Terms, Retainage, Warranties, Liquidated Damages, Confidentiality, Termination Rights, Dispute Resolution.
  • Review insurance requirements and coordinate with internal stakeholders to ensure compliance with company insurance programs.
  • Assist in the development and maintenance of contract templates, playbooks, clause libraries, and guidelines.
  • Support internal compliance initiatives and contract audits as needed.
  • Serve as a contract liaison between Contracts and Sales, Operations, Accounting, and Executive Leadership teams.
  • Provide guidance regarding contract requirements, risk allocation, insurance obligations, and compliance matters.
  • Identify opportunities to improve contract processes, workflows, reporting, and efficiencies.
  • Participate in training initiatives to increase contract awareness and risk management best practices across the organization.
