About The Position

Philadelphia Corporation for Aging (PCA) is seeking a Contract Specialist-Paralegal to provide support to the Legal Department. This role is responsible for document management and the implementation and management of PCA’s Contract Lifecycle Management (CLM) system. PCA is a private nonprofit organization founded in 1973, part of the Area Agency on Aging (AAA) nationwide network, dedicated to improving the quality of life for older Philadelphians and those with disabilities.

Requirements

  • Bachelor’s degree required.
  • Two-plus (2+) years of experience.
  • Proven organization, self-motivation, reliability, and ability to efficiently prioritize and work independently.
  • Knowledge of contract process and procedures.
  • Must be highly organized and able to efficiently multi-task prioritize contracts and tasks at various stages of completion while successfully managing a variety of demands.
  • Strong verbal and written communication skills. Ability to form interdepartmental collaborations through the contract drafting process and manage the signature and storage process once finalized.
  • Able to pay close attention and identify errors or changes in contract terms and parties. Able to compile exhibits and attachments and understand version control for finalization of contracts.
  • Clear and effective oral and written communication skills with excellent proofreading skills required. Able to prioritize and communicate with various stakeholders in contract process who may have various levels of technical CLM skills.
  • Strong computer skills with proficiency in MS Office Suite and document management systems.
  • Adopts a methodical and systematic approach to thinking. Does research and engages in decision analysis.
  • Versatile as business needs arise.

  • Paralegal certificate preferred.

Responsibilities

  • Serves as central point of contact for PCA contracts and their storage and status.
  • Fields inquiries from Departments and executives.
  • Coordinates workflow with counsel and provides responses in a timely manner. Monitors deadlines amidst changing priorities.
  • Assists in continuing refinement and implementation of CLM system.
  • Responsible for initial contract review and information-gathering throughout the contract lifecycle.
  • Interacts with Departments and third parties regarding exhibits, budgets, and other details needed for incorporation into contracts.
  • Professionally prompts others to timely provide needed information during contract work-flow process and communicate with clients and business partners via email, text, MS Teams, and letter correspondence.
  • Proofreads and identifies missing or changed terms in contracts.
  • Assists with and coordinates document signing functions internally and with parties outside PCA.
  • Performs related work and additional duties as requested by the General Counsel, supervisor, Business Administration, or other Department leaders.
  • Works with counsel and C-suite to manage and prepare data/reports in conjunction with CLM to track timing of contract preparation and completion.
  • Performs other related duties as assigned.
