About The Position

The Contract Specialist I works under the supervision of the Contracting Manager and assists internal departments and vendors with basic contract management, sourcing, and procurement of goods and services. This position helps support supply chain contracting and procurement activities, including preparing, reviewing, and updating contract documents; assisting with renewals and modifications; monitoring compliance with UTMB policies; and maintaining accurate records in procurement systems.

Requirements

  • Bachelor's degree in business, finance, health care administration, supply chain, or a relevant field and one (1) year of relevant experience. An equivalent combination of education and experience relevant to the role may be considered for this position.
  • Must obtain C.P.S.M., C.P.P.B, C.P.P.O, CTCM, or an equivalent nationally recognized certification of professional credentials as deemed acceptable to UTMB within 18 months of appointment in title.
  • Effective oral and written communication skills.
  • Understanding of contract administration and procurement processes.
  • Exercise considerable judgment in scheduling and coordinating work.
  • High level of administrative ability and proficiency in personal computer operations, including Microsoft Office.
  • Collaboration with all levels of internal and external stakeholders to affect the final determination of problems of a recurring but non-routine nature.
  • Demonstrate intermediate use of Microsoft Excel, PowerPoint, and Word.
  • Knowledge in the review and understanding of legal contracts, terms, and conditions.
  • Ability to work well in a team environment, both with internal, cross-functional, and cross-institutional teams.
  • Commitment to excellence and customer service demonstrated through flexibility, teamwork, professionalism, and a high level of problem-solving skills.
  • Ability to be responsible, flexible, accountable, and detail-oriented, with the ability to multitask, adapt, and prioritize meeting deadlines.

Nice To Haves

  • Experience in using supply chain contract management software, Jaggaer and PeopleSoft preferred.
  • Experience with public procurement, preferably with the State of Texas entities.
  • Knowledge of healthcare procurement.
  • Utilization of AI tools, including but not limited to Microsoft Copilot.

Responsibilities

  • Maintain a portfolio of contracts with a moderate value limit throughout the contract lifecycle.
  • Collaborate with the Contract Administrator and other team members on the preparation and processing of contracts and sourcing documents.
  • Provide basic support for internal customers with contract questions and compliance matters, referring complex issues to more experienced staff.
  • Maintain well-organized, accessible, and accurate contract files and documentation in electronic systems.
  • Prepare and review standard contract documents for routine goods and services under guidance.
  • Collaborate with supply chain and other groups to gather necessary information for contract processing and to support vendor communication.
  • Demonstrate effective communication by sharing straightforward contract information with internal stakeholders.
  • Identify and escalate contract or operational issues to leadership as needed.
  • Assist in gathering and preparing information for internal audits or reporting requests.
  • Assist with gathering data for periodic reviews and reporting.
  • Participate in team meetings and process improvement discussions.
  • Support departmental projects as assigned.
  • Perform other related duties as assigned.
