About The Position

The Contract Freight Coordinator is responsible for scheduling the pickup and delivery of contract freight and backhaul shipments to ensure customer satisfaction and increase profits. This role involves coordinating logistics, tracking shipments, and serving as a primary contact for drivers and internal departments regarding operational needs. The position also assists with general office functions, customer service, and claim processing. Requirements

  • High school education or equivalent required.
  • Good transportation, delivery, and distribution understanding.
  • Sales and negotiation skills.

Responsibilities

  • Schedules the pickup and delivery of contract freight and backhaul shipments.
  • Books loads, negotiates freight rates, dispatches loads, and handles special deliveries.
  • Tracks shipment movements and monitors contract freight from pick-up to delivery.
  • Utilizes Prospero and other systems to coordinate and track freight activities.
  • Serves as a driver contact for day-to-day operational needs, including tracking ETAs, pallet changes, lost paperwork, overweight issues, route changes, pick-up and delivery problems, and equipment breakdowns.
  • Communicates with the warehouse regarding pallet issues, miss-ships, longs, damaged product, and special freight instructions.
  • Assists with general office functions such as answering calls, performing customer service, handling problems, making copies, monitoring faxes, compiling and distributing paperwork, and data entry.
  • Solicits new contract freight customers.
  • Manages claims for overages, shorts, and damaged contract freight.
  • Notifies vendors and consignees of discrepancies.
  • Works with quality control on salvaged or donated products.
  • Processes claims for lost or damaged product.
  • Works with dispatchers and loaders when returning smaller quantities of pallets to vendors.
  • Buys pallets as needed.
  • Works with Accounts Receivable Associate to resolve billing discrepancies and issue credit vouchers and chargebacks.
  • Assists the Transportation Accountant with contacting customers regarding outstanding receivables.
  • Performs other duties as assigned by management.
