About The Position

Our client, a leading AI company, is seeking a sharp, detail-oriented Program Coordinator to own the day-to-day operations of its Contingent Workforce (CW) Program. You will process worker lifecycle events in the VMS, coordinate onboarding and offboarding logistics, and keep data clean across systems. You will work directly with the CW Program Manager and partner daily with People Services, IT, and staffing and payroll vendors.

Requirements

2+ years in HR operations, staffing or recruiting operations, or program coordination
Highly organized and detail-oriented, with excellent professional judgment when handling sensitive worker data related to compensation, performance, and compliance
Reliable and responsive when fielding time-sensitive requests
Excellent communication skills for coordinating with cross-functional partners
Able to manage multiple deadlines and shifting priorities in a fast-paced environment
Customer service oriented, with a flexible and creative approach to problem-solving
Fluent in Google Workspace (Docs, Sheets) and Slack

Nice To Haves

Experience with a VMS or HRIS (VNDLY, Workday, Fieldglass, Beeline, or similar) strongly preferred
Interest in using automation and AI to improve day-to-day processes
Staffing industry or contingent workforce program experience is a plus

Responsibilities

Process contingent worker lifecycle events in VNDLY, including worker record creation, work orders, onboarding and offboarding tasks, extensions, assignment updates, and profile changes (including vendor-to-vendor transitions)
Own VMS record administration end to end, including new vendor setup
Coordinate day-one readiness for new contractors: system access requests, equipment, badge logistics, and manager communications; run offboarding checklists and confirm access termination on final days
Support the contractor onboarding experience, including new-hire orientation session logistics, materials distribution, and coordination with the People and onboarding teams
Own front-line triage across the program's intake channels (shared inbox, Jira ticket queue, and Slack); answer routine questions, resolve or route tickets with context, and keep response times within SLA
Support finance and billing operations: chase and correct timesheets, trace payment and billing questions from timesheet through approval, invoice, and PO, flag invoice discrepancies and coding issues, and partner with Finance and vendors through resolution
Keep rosters reconciled across VNDLY, Workday, and vendor systems; pull data for monthly program reporting
Maintain knowledge and content hygiene: Google Drive organization, internal knowledge base updates, and current intake forms and templates
Administer program communications: shared inbox and Google Group, distribution lists, recap posts, announcements, and Slack channel upkeep
Support vendor management: collect monthly vendor metrics for the program scorecard, schedule QBRs, and track vendor action items to completion
