About The Position

The Office of the President at UCF is seeking a Constituent Services Coordinator. This role serves as the primary point of contact for the Office of the President, managing how the university interacts with students, families, faculty, staff, and community members. The coordinator will handle sensitive inquiries, support office operations, and ensure a smooth experience for all visitors. Key responsibilities include overseeing constituent matters related to customer service and complaint handling, often involving confidential and sensitive information and complex problem-solving. The role also manages front desk operations and provides general administrative support, requiring independent work with limited supervision. This is a highly visible, people-centered role that requires full-time on-site work at UCF's Main Campus.

Requirements

  • Bachelor's or Master's degree and 4+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • All applicants must be authorized to work for any U.S. employer.
  • Visa sponsorship is not available for this position, and the university cannot accommodate H‑1B transfers or employment-based visa processing for individuals currently sponsored by another employer.
  • Must reside in Florida as of the date the employment begins.

Nice To Haves

  • 4+ years of experience in a customer service, administrative support, or office management role.
  • Experience supporting senior leadership and managing executive calendars.
  • Experience with project management and project management platforms (Asana or similar).
  • Familiarity with Customer Relationship Management software (CRM) such as Salesforce, Oracle, or similar.
  • Proficiency with Microsoft Office Suite.
  • Strong customer service mindset, with the ability to handle sensitive information with professionalism and discretion.
  • Exceptional organizational skills and attention to detail.
  • Outstanding interpersonal skills with a proactive, helpful attitude.
  • Adaptable and able to manage competing priorities in a fast-paced environment.

Responsibilities

  • Handles high-level and complex concerns or complaints from any/all university constituents, providing strong customer service and problem-solving. Involves relevant leaders across the University, as applicable, and uses sensitivity and confidentiality protocols as relevant.
  • Manages front desk offices activities; serves as the first point of contact for entry into the President's Division; greets constituents and answers phones. Checks and triages all inbound emails. May schedule and supervise student workers.
  • Provides general administrative support as necessary, to include but not limited to items such as: providing reports, reviewing and analyzing data, preparing meeting rooms, managing files and records, handling office supplies and inventory, and serving as back-up to other area administrators as needed.
  • Provides dedicated administrative support to the Office of the President's operational team, to include but not limited to items such as: complex calendar management, travel coordination, expense reconciliation, meeting coordination, and miscellaneous project support as needed.
