Requirements

  • Minimum of 1-2 years’ experience in conference services preferred.
  • Strong computer knowledge, with technical ability and/or aptitude to fully use Microsoft Word, Delphi, Excel, Outlook, and other management systems.
  • Excellent communication skills in all aspects: verbal, written and non-verbal.
  • Computer skills required: Microsoft Office – Word, Excel, PowerPoint, Outlook, Delphi.fdc, Opera.
  • Thorough knowledge of Hotel Food & Beverage operations.
  • General knowledge of all hotel departments.
  • Refined verbal and written communication skills.
  • Effective management, leadership, and organizational skills.
  • Appropriate, professional appearance and presentation.

Nice To Haves

  • Experience in a convention Resort/Hotel setting is a plus.

Responsibilities

  • Prepare resumes for groups and review all details in weekly meetings.
  • Adhere to the Catering and Conference Services Department’s standard operating procedures.
  • Promptly and thoroughly handle all steps in the event planning and execution processes.
  • Proactively establish a good rapport with the client, ensuring preparation work is accurate and being visible during the conference to meet client expectations.
  • Conduct pre-conference meetings as needed.
  • Communicate with banquet managers for all related banquet functions and relay client requests to relevant departments.
  • Conduct planning meetings, site inspections, and Pre-Convention meetings.
  • Work closely with the banquet department on event execution, evaluating alternatives and deciding on a plan of action.
  • Execute all banquet event orders and group resumes with attention to detail.
  • Set a positive example for guest relations.
  • Respond to and handle guest problems and complaints.
  • Ensure banquet event orders are accurate and provide all relevant information to all departments.
  • Be aware of departmental revenue and upsell at every possible opportunity.
  • Manage room blocks efficiently.
  • Coordinate all aspects of convention services as assigned, including receiving turnover files from group sellers and establishing client relationships.
  • Identify food and beverage requirements, timing of events, audio-visual needs, special guest attention, room type allocation, rooming lists, cut-off dates, group pickup meetings, amenities, function room setup, group transportation, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, expected food and beverage outlet usage, handling of group minimums, providing group meal estimates, follow-up of attrition, group hospitality/office/registration desk requirements, business center requirements, entertainment, leisure activities, décor (including floral) requirements, etc.
