About The Position

As a Conference Planner on the Gartner C-Level Communities Logistics team, you will be responsible for planning and delivering world-class C-Level events across North America focusing on team collaboration to create exceptional customer experiences for every attendee, sponsor and associate attending. You will work to deliver and execute on assigned in-person and virtual programs by planning and managing details including but not limited to venue selection, budget, virtual platform management, onsite execution, project management, registration, and customer experience.

Requirements

  • Bachelor’s degree with focus on events and/or marketing preferred
  • 3 years of event experience, corporate or business environment
  • Proficiency in the Microsoft Office suite including Outlook, Word, Excel, and PowerPoint
  • Knowledge of hotel/restaurant meeting planning, particularly in terms of normal service expectations
  • Knowledge of virtual event platforms - Webex and Microsoft Teams host role, screen sharing, breakouts and troubleshooting
  • Highly organized with strong attention to detail
  • Multi-tasking, managing multiple deadlines, and maintaining composure in a fast-paced environment
  • Strategic and client focused with great customer service skills
  • Solution oriented with a high sense of urgency
  • Ability to work as part of a team, but also work on events individually
  • Travel 8-12 times per year (up to 3-5 days per trip)

Responsibilities

  • Communication and collaboration across event teams to ensure seamless delivery of world-class events
  • Plan and execute Inner Circle Dinners and support Executive Summits
  • Be part of a cross-functional team that is responsible for creating registration journeys that are deliberate, personalized, and engaging.
  • Understand our Registration and Peer to Peer meetings technology to successfully deliver these elements of our event onsite, with the assistance of the wider team.
  • Partner with the Venue Sourcing team to review and approve Inner Circle Dinner venue proposals
  • Be a trusted partner by providing feedback, communicating challenges & opportunities, innovating to scale, and maintain strong relationships with key stakeholders
  • Contribute ideas for event innovations and process improvements to enhance the C-level Communities product and brand
  • Financial management: Supplier set up and payments within our internal systems, accurate and timely event budget forecasts, strategic spending decisions, escalations for spending approvals, and vendor negotiations
  • Carry out the delivery of virtual events as Tech Lead
  • Collaborate with peers to improve processes for efficiency and scalability where applicable
  • Identify gaps in process, communication, partnerships, and deliverables to continuously make improvements where they will add value
  • Support Gartner Destinations Conferences as needed
  • Support on special projects as needed
