About The Position

This is a 6-month contract position for a Compliance Specialist/Compliance Paralegal located in Plano, TX. The role is onsite and requires support for the Legal/Compliance review of new vendors, analysis of vendor questionnaires, and tracking of compliance-related documents and processes. The specialist will also assist with training, invoice processing, and administrative tasks.

Responsibilities

  • Support Legal/Compliance review of all new vendors to existing Vendor Evaluation Registration System (VERS).
  • Conduct compliance analysis of new vendor questionnaires, evaluating for completeness and entering BvD red flag information.
  • Communicate risk ratings determined by Counsel to the procurement team.
  • Validate vendors in the Compliance Catalyst tool and send Due Diligence Questionnaires.
  • Follow up with procurement and business requestors regarding vendor questionnaire questions.
  • Document and track all communications through the Vendor Compliance NA mailbox.
  • Facilitate submission and receipt of vendor due diligence questionnaires.
  • Coordinate responses from internal teams and vendors.
  • Send follow-up communications and review questionnaires for completeness.
  • Maintain internal tracking of the vendor review process via Excel spreadsheet and internal records.
  • Submit risk ratings and disclaimer language into the Knox system or VERS system and attach risk assessments.
  • Coordinate posting of policies and guidance documents on the intranet.
  • Assign or update tracking numbers for document version control.
  • Perform initial review of emails received by the Department using department templates to respond to inquiries.
  • Send requests/questions/responses to appropriate internal stakeholders and submitters.
  • Send COI and Gift & Hospitality acknowledgement emails.
  • File all mailbox emails.
  • Track external questionnaire submissions and respond using template responses, escalating to counsel when needed.
  • Circulate requests to internal SMEs and save/file completed questionnaires.
  • Maintain internal tracking of questionnaire submissions via Excel spreadsheet.
  • Respond to compliance questions in the questionnaire.
  • Process invoices and PUMIs, ensuring legal invoices are coded appropriately in GLASS.
  • Maintain annual budget tracking via Excel spreadsheet, including vendor details and spend to date.
  • Download bi-weekly training records for upload to the NA Shared Service Center Learning & Development (L&D) platform.
  • Assist with scheduling and attendance at NA Compliance Training Sessions, capturing employee attendance for upload.
  • Review and circulate calls to the Hotline to the Investigation team.
  • Handle administration of accessibility-related matters, including vendor contract renewals and SOW finalization.
  • Respond to customer inquiries in collaboration with customer care.
  • Perform other accessibility tasks as needed.
  • Provide administrative assistance to the team, including circulating weekly reports, printing, and scheduling meetings.
