About The Position

The Office Manager provides leadership and operational oversight for the Compliance office, ensuring efficient administrative and client service operations while supporting the execution of compliance programs and services. This role supervises the Administrative Assistant and Compliance Associates, coordinates workflow and resource allocation, supports customer relationships, and ensures high-quality, timely service delivery to clients and internal stakeholders.

Requirements

  • High School Diploma or GED required.
  • Associate’s degree in business, administration, transportation, compliance, or a related field, or an equivalent combination of education and relevant work experience.
  • Minimum of five years of administrative, office management, compliance, transportation, or related experience.
  • Strong leadership and employee development skills.
  • Ability to effectively supervise, motivate, and coordinate a team.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation and professional demeanor.
  • Ability to prioritize multiple tasks and effectively manage competing deadlines.

Responsibilities

  • Provide day-to-day leadership and supervision for the Administrative Assistant and Compliance Associates.
  • Coordinate and prioritize departmental workloads to ensure timely completion of client deliverables and regulatory filings.
  • Monitor office operations and implement processes to improve efficiency, consistency, and customer service.
  • Assist with employee onboarding, training, coaching, and development.
  • Provide guidance and support on administrative and compliance-related processes and procedures.
  • Monitor departmental performance and workload balancing across team members.
  • Ensure client inquiries, phone calls, emails, and requests are responded to promptly and professionally.
  • Assist with account management and maintain positive client relationships.
  • Oversee invoicing processes and ensure accurate and timely billing activities.
  • Monitor compliance service due dates and ensure clients receive required notifications.
  • Assist with escalated client concerns and work toward effective resolution.
  • Support the Compliance Manager in achieving departmental goals, initiatives, and strategic objectives.
  • Coordinate office supplies, equipment, vendor relationships, and facility-related needs.
  • Maintain office records, electronic files, and administrative documentation.
  • Assist with scheduling meetings, events, training, and company activities related to the Compliance Team.
  • Support implementation and maintenance of departmental policies, procedures, and best practices.
  • Promote compliance with company safety, quality, and workplace policies.
  • Work collaboratively with internal departments to ensure seamless support and communication.
  • Prompt and dependable attendance.
  • Other duties as assigned.
