You’ll work alongside Community Managers and other team members to support homeowners, board members, vendors, and the communities we manage. Requirements

  • Proficient in Microsoft Outlook, Word, Excel, and Teams
  • Comfortable learning industry technology such as Vantaca
  • Typing proficiency of at least 45 WPM
  • Ability to work collaboratively and take direction from multiple team members

Nice To Haves

  • Experience in HOA or community association management is a plus but not required.
  • Experience in customer service, administrative support, hospitality, property management, real estate, retail, or other service-oriented environments.

Responsibilities

  • Respond to homeowner questions and requests by phone, email, action items, and other communication channels
  • Maintain accurate homeowner account notes and community records
  • Prepare, send, and track violation correspondence through Vantaca
  • Review, organize, and help coordinate architectural requests
  • Organize and distribute community newsletters and other communications
  • Create and track maintenance work orders through Vantaca
  • Support the Customer Service phone queue as needed
  • Assist Community Managers with the day-to-day needs of their assigned communities
  • Attend association meetings periodically when requested
  • Track insurance renewals, bids, and related information through Vantaca
  • Organize bids, contracts, and other community documents
  • Coordinate special mailings and community communications
  • Assist with vendor management and follow-up
  • Support entry-system administration, including pool fobs and gate access
  • Maintain amenity reservations for assigned communities, as applicable
  • Conduct scheduled community standards tours with Community Managers
  • Maintain accurate electronic files and records
