About The Position

Heritage Ascent is seeking a Community Manager to support the day-to-day operation, member experience, sales, marketing, and growth of our coworking locations. This is not a traditional receptionist or front-desk position. The Community Manager is a primary onsite point of contact for members, guests, and prospects while also supporting lead follow-up, tours, proposals, marketing, member engagement, billing, reporting, and business operations. Heritage Ascent is in a growth phase, implementing new technology, expanding sales and marketing efforts, developing standardized operating procedures, and building systems to support future locations. This role is ideal for someone who is highly responsive, entrepreneurial, organized, comfortable talking to people, and excited by variety. We are looking for someone who notices opportunities, brings forward ideas, follows through, and wants to help build and grow the business.

  • Ability and willingness to travel between Heritage Ascent locations as business needs require
  • Ability to lift up to 25 pounds and assist with meeting room setup, supplies, and other light physical activities

Nice To Haves

  • College coursework or a degree in business, hospitality, marketing, communications, technology, or a related field is preferred
  • Experience in coworking, hospitality, customer service, sales, marketing, events, office operations, business development, or business operations is preferred but not required
  • Experience with Yardi Kube or similar software, Canva or Adobe Creative Suite, social media, email marketing, digital advertising, content creation, CRM systems, reporting, or SOP development is also a plus

Responsibilities

  • Serve as a primary onsite point of contact for members, guests, and prospective clients
  • Create a professional, welcoming, hospitality-focused experience and build strong relationships with members
  • Coordinate member onboarding, office access, conference room bookings, mail and packages, meeting preparation, and other member services
  • Prepare coffee and hospitality areas, monitor supplies, regularly walk the space, and ensure the location remains clean, organized, stocked, and ready for members and guests
  • Identify maintenance, janitorial, technology, and facility needs and follow requests through resolution
  • Respond promptly to new leads and member inquiries by phone, email, website live chat, and in person
  • Proactively call and follow up with prospects, schedule and conduct tours, prepare proposals, and support leads through the sales process from initial inquiry through membership and onboarding
  • Monitor website live chat throughout the workday, including mobile notifications when away from the desk, so inquiries receive timely responses
  • Support Heritage Ascent marketing efforts, including social media, blog and website content, email marketing, digital listings, member communications, and lead-generation campaigns
  • Create and update social posts, emails, flyers, presentations, and other materials using established templates and brand standards, primarily in Canva
  • Assist with digital advertising, marketing performance tracking, grassroots outreach, broker and community relationships, and other business development initiatives based on experience and team needs
  • Prepare recurring member communications highlighting events, benefits, discounts, amenities, and other relevant information
  • Help plan member events, networking opportunities, referral programs, surveys, giveaways, and other community-building initiatives
  • Gather member feedback and help identify and implement opportunities to improve the member experience and retention
  • Maintain accurate member, prospect, booking, billing, marketing, and operational information
  • Assist with monthly reporting and tracking of key metrics such as leads, tours, proposals, conversions, occupancy, renewals, cancellations, revenue, and member engagement
  • Identify inefficient or overly manual processes and help develop, document, and improve Standard Operating Procedures (SOPs)
  • Bring forward ideas for improving member experience, marketing, sales, operations, and business growth
  • Participate in a weekly Heritage Ascent team meeting to review leads, occupancy, member feedback, marketing, operations, priorities, and new ideas
  • Collaborate with team members across locations and share responsibilities based on workload, business needs, and individual strengths
  • Support prospects, members, proposals, marketing, reporting, and other projects across Heritage Ascent locations
  • Provide backup coverage at other locations as needed and assist with the launch of future locations
