About The Position

Performs a variety of routine and complex clerical, secretarial, and administrative work in keeping official records, providing administrative support to the Community Development Department staff, and assisting in the administration of the standard operating policies and procedures of the department.

Requirements

  • High school diploma or general education degree (GED) with specialized course work in general office practices such as typing, filing, accounting and bookkeeping; and one to three years of increasingly responsible related experience and/or training; or and equivalent combination of education and experience.

  • Ability to apply concepts of basic math, algebra, and geometry.
  • Ability to interpret legend information.
  • Ability to speak effectively before groups of customers or employees of organizations.
  • Ability to effectively present information in one-on-one and small group situations to both external and internal customers.
  • Skill in operation of applicable tools and equipment such as a PC, office telephone, fax machine, copier, and scanner.
  • Prepares spreadsheets on the computer and moderately complex work in the department’s computer aided design system and permit tracking software; skill in customer relations.
  • Considerable knowledge of grammar, spelling, and punctuation.
  • Working knowledge of computers and electronic data processing.
  • Working knowledge of modern office practices and procedures.
  • Some knowledge of accounting principles and practices.
  • Some knowledge of street system and physical layout of the city.
  • Must possess a valid Wyoming driver’s license.
  • Ability to be insured under the City’s municipal automobile insurance coverage.
  • Must be at least 18 years of age.
  • Ability to become a Notary Public.

Responsibilities

  • Assists both external and internal customers with a wide variety of questions, complaints, and requests regarding department operations and services.
  • Answers incoming calls and routing callers or provide information as required.
  • Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgement as to content, accuracy, and completeness.
  • Inputs data into standard office and department forms and software; makes simple postings to customer accounts; compiles construction contract specifications, application forms, and other departmental material for various reports.
  • Assists with code enforcement data collection and reporting.
  • Receives and stamps incoming mail and processes outgoing mail.
  • Schedules appointments and coordinates activities, meetings, tours, conferences, events, and training sessions; makes travel arrangements for staff.
  • Serves as secretary to the Planning Commission and other boards or committees as assigned. This involves the preparation of meeting agendas, transcribing meeting minutes, and preparing and processing a variety of correspondences.
  • Maintains Community Development department filing systems, including engineering drawings, building permits and other associated permits, easements, right-of-ways, deeds.
  • Maintains the Community Development department’s system of licensed contractors and temporary merchants; maintains the department’s system of child care permits and home occupation permits; facilitate billing and receipts for payments of permits and licenses.
  • Files, records, and reports information to department records.
