In the heart of Bremen’s bustling Mitte district, Clockwise Bremen offers an inspiring workspace surrounded by top restaurants, bars, retail outlets, and cultural landmarks. Across five beautifully designed floors, members can choose from private offices, dedicated desks, and club lounge spaces. The location is dedicated to building a vibrant community, creating a collaborative and welcoming atmosphere that feels like a second home. We are looking for a community coordinator to deliver an exceptional member and customer experience while supporting the day-to-day operations, commercial performance, and community engagement of the location.

Responsibilities

Support delivery of ancillary revenue targets, including, but not limited to, meeting rooms, events and additional services, proactively identifying opportunities to drive income.
Manage and respond to enquiries in line with the Clockwise member journey and sales process, conducting tours and progressing opportunities where required.
Maintain accurate and compliant use of systems such as HubSpot for enquiries, member interactions and sales activity.
Support sales-related projects, including competitor research, local market insight and CRM data management.
Record meeting room bookings, ancillary sales and event income in line with SOPs.
Deliver the Clockwise Customer journey to all visitors, tenants and members in the building – a great welcome and resolution/escalation of any reported issues.
Maintain cover on the reception/welcome desk and that you arrange cover for breaks and meetings in line with Clockwise brand standards.
Lead and support delivery of community events and activities aligned to Clockwise’s community pillars, ensuring quality, consistency and budget adherence. Compile handover notes and communicate daily events and activities to your colleagues.
Ensure brand standard member communications, social media content ideas and local engagement initiatives in collaboration with the marketing team.
Manage post and deliveries to the building ensuring that the established processes are followed at all times.
Manage incoming calls to the building, directing to the appropriate person and ensuring a great impression is created and an efficient service delivered.
Ensure that interactions with your members and tenants in person and via virtual communications are meeting and exceeding expectations.
Provide peer group and buddy support in your own and other Clockwise locations
Ensure you are working in a way which aligns to the Company Handbook
Ensure all health and safety measures and regulations are adhered to in line with risk assessments reporting and recording any issues which arise and escalating used to your manager immediately.
Ensure all interactions with building suppliers/third parties are undertaken in a professional and collaborative manor, maximising the value both commercial and service to Clockwise. Reporting any issues to your location manager
Manage access control requests for new and departing tenants, colleagues, and members in line with your building’s standards.
Sign in contractors to the building in line with the agreed standards.
Report any maintenance issues to the building manager/general manager as appropriate.
Support the building management on site where reasonable and ensure you play your part in creating a positive, joined-up experience for everyone who works in your building.
Conduct building walks, opening/closing checks and operational audits as required.
Supporting the day-to-day operation of our product range including room setup, preparation and coordination
Ensuring meeting rooms are clean, organised and ready for use
Supporting the management and upkeep of tea points and shared areas
Coordinating supplies and ensuring refreshments and consumables are available
Supporting internal teams and members with operational requests
Providing hands-on support for events, meetings and other activities taking place on site
Ensure effective and compliant use of all business systems, including but not limited to HubSpot, Resonate, Expansive, Riskproof and Office RnD.
