Requirements

  • 3+ years of progressive experience in project management within a marketing or communications environment.
  • 1-2 years of writing or editing experience in a marketing or communications environment (or 1+ years of progressive experience and relevant bachelor's degree).
  • Demonstrated experience leading project management processes for marketing or communications teams, including managing timelines, workflows, approvals, and stakeholder communication.
  • Highly organized with exceptional attention to detail and the ability to manage multiple projects and competing deadlines simultaneously.
  • Proactive problem solver who can anticipate future needs, think holistically, analyze workloads, forecast team capacity, and help guide prioritization decisions.
  • Strong interpersonal and communication skills, including the ability to listen carefully, ask thoughtful questions, and build strong working relationships across departments.
  • Confident leading conversations with clarity, empathy, professionalism, and accountability while setting realistic expectations and guiding decision-making.
  • Initiative to solve problems, improve processes, identify gaps, and keep projects moving forward with minimal oversight.
  • Strong writing and editing skills, including the ability to support communications work and review materials for clarity, accuracy, tone, and brand consistency.
  • Sound judgment and the ability to work independently while contributing collaboratively within a multidisciplinary team.
  • Adaptable, responsive, and solutions-oriented in a fast-paced environment with evolving priorities.
  • Experience using project management software (e.g. Wrike or similar platform).
  • Experience collaborating with graphic designers, copywriters, web developers, print vendors, and clients.

Responsibilities

  • Facilitating quarterly planning meetings with departments to generate forecasting proposals, identify major campaigns and projects, provide insights for team capacity and timelines, and support strategic prioritization and resource allocation.
  • Maintaining visibility across the full pipeline to help balance workloads, identify bottlenecks, and inform upcoming resource needs.
  • Analyzing team workload and forecasting communications team capacity to anticipate staffing or contractor needs.
  • Coordinating with external contractors or vendors when internal capacity is limited, ensuring deliverables meet deadlines, budget expectations, and quality standards.
  • Developing and sharing reports on project volume, team workload, and resource utilization.
  • Using systems-thinking to connect projects, departments, workflows, and organizational goals.
  • Serving as the primary point of contact for internal stakeholders requesting marketing and communications support.
  • Facilitating the communications team’s project management system, software, and processes, including evaluating needs, configuring workflows, supporting adoption and training, improving processes, and ensuring effective support for collaboration, transparency, prioritization, and planning.
  • Working with the Communications Team to lead discovery and planning conversations with departments to understand goals, identify connections, ask questions, recommend approaches, define scope, and determine resources.
  • Applying judgment to manage project timelines, budgets, and resources.
  • Maintaining projects in the project management system by assigning producers, ensuring team members track statuses, monitoring deadlines, and overseeing review and approval processes.
  • Communicating proactively and clearly with stakeholders about project progress, timelines, scope changes, competing priorities, and expectations.
  • Listening carefully to internal clients to identify project scope, potential challenges, gather feedback, and ensure projects align with organizational goals and audience needs.
  • Collaborating with print vendors to obtain quotes, manage production logistics, and advise internal teams on formats, timelines, and mailing preferences.
  • Sending quarterly website review reminders to department stakeholders and supporting them in identifying and implementing content updates.
  • Supporting the communications team with writing and editing, including content creation and proofreading communications materials for accuracy, clarity, and brand consistency.
  • Creating copy for events, newsletters, campaigns, and marketing collateral.
  • Reviewing and refining materials created by other departments.
  • Maintaining familiarity with Habitat for Humanity brand guidelines and style guide.
