About The Position

Under general supervision, provides support for communication activities, event coordination, and is responsible for bookkeeping duties for the Division. This is a safety-sensitive position as defined under Oklahoma Statute Title 63 § 427.8. All candidates conditionally offered transfer, promotion or initial hiring into a DOT/safety-sensitive position shall submit to testing for drugs and alcohol and test negative before performing any job functions that are safety-sensitive or require a CDL. External job applicants with a confirmed positive drug or alcohol test result shall be denied employment and shall be required to wait one year before applying for another position within Tulsa County.

Requirements

  • Knowledge of budgeting or bookkeeping; customer service; basic communication skills; event planning.
  • Skills in customer service; organizational skills; attention to detail; record keeping; event coordination.
  • Ability to multitask; work independently and as part of team; handle confidential information; learn new software, communication tools, and office system; work with various teams.
  • Knowledge of Word Processing software, Spreadsheet software, Contact Management software, and Internet software.
  • High school diploma or GED and 3 years of satisfactory full-time paid employment in Communication or a related field; or graduation from an accredited college or university with an Associate in Communication, Marketing or other related field; or a combination of education and experience may be considered.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Valid Oklahoma Driver’s License possessed for at least 6 months
  • Defensive Driving with Tulsa County within 6 months of hired

Responsibilities

  • Track basic budget information for events, process invoices, and assist with financial records.
  • Assist in planning and coordinating internal and external events.
  • Assist in developing and distributing internal and external communications, including announcements, newsletters, and informational materials.
  • Maintain communication calendars and help schedule communication or event-related tasks.
  • Provide general administrative and clerical support to the communications team, including preparing reports, organizing files, and managing correspondence.
  • Distribute department mail and correspondence.
  • Maintain office supplies and coordinate orders as needed.
  • Maintains accurate inventory counts for all equipment by tracking usage, conducting regular audits, and updating inventory records.
  • Support the Communications team with tasks such as assisting with social media updates and helping maintain website content and other communication channels.
  • Performed other duties as assigned.
