About The Position

The Commissioning Project Coordinator II will support the Commissioning Program by coordinating project documentation, project systems, scheduling, reporting, work notifications, and other non-technical project activities. The Commissioning Project Coordinator II will work closely with Program Managers, Project Managers, Resource Managers, field personnel, and other internal stakeholders to help ensure project information, documentation, and workflows are accurate, organized, and completed within required timeframes. The Commissioning Project Coordinator II will provide day-to-day coordination across multiple commissioning projects and assist leadership with maintaining project records, tracking deliverables, coordinating communications, and completing routine project support activities. The successful candidate will demonstrate strong organizational skills, attention to detail, effective communication, problem-solving, and respect for deadlines. This person will communicate and operate in line with organizational goals and values, as well as departmental objectives.

Requirements

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams) for managing documents, tracking data, and effective communication
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously
  • Strong attention to detail and ability to maintain accurate, orderly, and complete project records
  • Strong written and verbal communication and interpersonal skills
  • Ability to work effectively with Program Managers, Project Managers, Resource Managers, field personnel, and internal and external project stakeholders
  • Ability to work successfully in a remote environment through effective communication, organization, self-motivation, proactiveness, and resourcefulness
  • Ability and willingness to learn commissioning terminology, processes, project requirements, and documentation workflows
  • Ability to maintain confidentiality and handle sensitive business and employee information

  • Must be able to rent vehicles and have a valid driver’s license.
  • High school diploma or equivalent required

Nice To Haves

  • Experience with project management, construction management, document management, or similar software preferred
  • Experience with CxAlloy, Procore, SharePoint, and Smartsheet preferred but not required
  • Associate's or bachelor's degree in business administration, construction management, project management, or a related field preferred
  • Previous experience in project coordination, project assistance, administrative coordination, construction support, or a similar professional environment preferred
  • Experience supporting multiple managers, projects, or teams simultaneously preferred
  • Previous commissioning or mission-critical experience is a plus but not required

Responsibilities

  • Maintain and organize commissioning project documentation in CxAlloy, SharePoint, Procore, and other applicable project platforms.
  • Assist with CxAlloy project setup, document uploads, issue tracking, equipment and systems documentation, and maintenance of accurate project records.
  • Maintain project folders, logs, trackers, reports, and other documentation according to established project and program requirements.
  • Assist with document control, including organization, filing, version control, distribution, and archiving.
  • Track outstanding documentation and deliverables and follow up with appropriate team members to support timely completion.
  • Assist with maintaining commissioning plans, testing documentation, reports, checklists, meeting records, and project closeout documentation as directed.
  • Provide day-to-day project coordination support to Program Managers, Project Managers, Resource Managers, and other commissioning leadership.
  • Prepare, coordinate, track, and maintain work notifications and related project documentation.
  • Assist with scheduling meetings, project activities, internal coordination, and other program requirements.
  • Track action items, key deliverables, deadlines, and follow-up activities across assigned projects.
  • Assist with maintaining project schedules and communicating changes or outstanding requirements to appropriate stakeholders.
  • Coordinate information between field teams, project leadership, internal departments, clients, contractors, and other stakeholders as required.
  • Maintain and update Smartsheet, project trackers, staffing and resource information, and other program-level tracking tools as assigned.
  • Assist with compiling project status information and recurring reports for program and project leadership.
  • Track open items and outstanding deliverables and communicate status to appropriate team members.
  • Assist with collecting and organizing information required for weekly project and program reporting.
  • Support onboarding and coordination activities for employees assigned to the Commissioning Program.
  • Assist with interview scheduling, onboarding coordination, and other recruiting-related administrative activities as requested.
  • Assist leadership with coordinating training, project assignments, documentation, and internal communications.
  • Assist with travel coordination, expense documentation, project logistics, and other operational support activities as assigned.
  • Help maintain standardized processes and documentation across the Commissioning Program.
  • Serve as a coordination resource for PMs and managers by helping organize and complete routine non-technical project activities.
  • Completion of Assigned Tasks and Deliverables on Time and on Budget
  • Performs Other Related Duties as Assigned
