About The Position

Under the supervision of the Assistant Manager, Purchasing, you will perform all duties related to the creation and maintenance of item information in Dynamics 365, including validating item and order interfaces. You will process and follow up on purchase orders and sales orders, as well as review and verify orders and invoices. When required, you will respond to inquiries from cooperatives and internal departments.

Requirements

  • High school diploma or equivalent experience; college diploma (an asset).
  • 1 to 3 years of experience in a similar role.
  • Experience in an administrative or operational support role is an asset.
  • Ability to communicate in both French and English, verbally and in writing.
  • Proficiency in Microsoft Office.

Responsibilities

  • Process purchase orders according to established instructions and administrative procedures.
  • Validate sales orders in the system based on uploaded purchase orders or according to allocations provided by buyers.
  • Update, correct, or close purchase and sales orders as required, and forward them to buyers.
  • Verify invoices in the system by checking purchase order numbers and comparing prices and quantities.
  • Create new items or update existing items in the system based on information provided by buyers.
  • Enter new items and update existing item records in the purchasing system.
  • Maintain accurate pricing, product, and logistical information in the system.
  • Perform data entry while ensuring that all information is accurate and complete.
  • Validate item and order data, including UPC information, to ensure compatibility with warehouse and distribution requirements.
  • Respond to inquiries from cooperatives regarding pricing, item codes, order status, or required adjustments.
  • Communicate changes, errors, or adjustments related to orders or item information to cooperatives and internal departments.
  • Provide administrative support related to the preparation or follow-up of purchase orders for suppliers or buyers, as required.
  • Perform any other related duties as requested by the immediate supervisor or to support cooperatives and other departments.
