About The Position

We are seeking a proactive, detail-oriented Commercial Title Paralegal & Transaction Manager to lead our commercial title processing workflow and provide high-level support to the law firm across DC, Maryland, and Virginia. This role is designed for a professional who integrates technical title expertise with a passion for delivering an outstanding client experience. The successful candidate will take full ownership of the transaction lifecycle, ensuring that all files meet firm standards and insurability requirements under the supervision of the firm’s attorneys.

Requirements

  • 3+ years of commercial title experience in the title industry or as a real estate paralegal.
  • Deep knowledge of title processes, recording requirements, and regulatory filings specific to Washington DC, Maryland, and Virginia.
  • Proficiency in title production software and electronic recording platforms.
  • Exceptional verbal and written communication skills with a focus on "customer-first" service.
  • Ability to provide analytical problem-solving recommendations and deliver exceptional service with a high degree of professional discretion.
  • High School diploma/GED required.
  • Active Notary Public in DC, MD, or VA (or willingness to obtain).

Responsibilities

  • Take full ownership of the title processing lifecycle for commercial transactions, ensuring all deadlines are met with absolute accuracy and efficiency.
  • Support all aspects of the closing process, including the assembly of commitments, endorsements, and closing documentation.
  • Anticipate potential transactional challenges and implement solutions to maintain momentum and meet client service standards.
  • Provide clear, professional updates and estimated resolution dates to lenders, builders, brokers, and clients; manage tracking reports to ensure internal and external milestones are achieved.
  • Review title searches and draft commitments for accuracy; identify defects, liens, and encumbrances that require resolution.
  • Perform curative functions, including obtaining releases for prior liens, reviewing corporate authority documents, and coordinating the resolution of title discrepancies.
  • Interface with lienholders, municipal offices, and counsel regarding HOA, municipal, or other property-specific liens to ensure a clear path to closing.
  • Work closely with supervising attorneys to address title requirements and ensure the timely delivery of clear title.
  • Assist in the organization, preparation, and finalization of essential conveyance instruments, client-specific deliverables, and closing documentation.
  • Provide administrative support to attorneys by preparing engagement letters and drafts of legal documents in support of real estate transactions and law firm files.
  • Support the submission of jurisdictional filings, tax forms, and mandatory reporting requirements.
  • Facilitate the administrative review and tracking of contracts, amendments, and related agreements to ensure all milestones are met.
  • Assist in the review of organizational documents and resolutions to confirm signing authority and compliance.
