About The Position

This role involves performing data entry, managing account relationships, and ensuring customer requirements are met.   • Ability to prepare various reports, lists, and handouts.
  • Must visibly demonstrate safety commitment by following all safety and health procedures and modeling the behaviors related to such.

  • Must be able to wear multiple hats and perform other duties as assigned by management.
  • Must clear a pre-employment drug test (marijuana pre-employment drug test is not administered, but it is a drug-free workplace).

Responsibilities

  • Perform data entry of vehicle identification number (VIN) and other descriptive information in the AS 400 system.
  • Manage account relationships, maintaining effective communications and ensuring customer requirements are met.
  • Maintain vehicle files; verify title information; log in titles when received; create and file in folders.
  • Work with the title department to ensure a negotiable title is obtained for each vehicle.
  • Work with the posting clerk to ensure all vehicle charges (recon, transportation, etc.) are applied correctly in the AS400 system.
  • Respond to customer inquiries relating to vehicles, providing quality service and assisting in resolving problems.
  • Mail out sale packages the day after the sale.
  • Pull and update consignment inventory information of vehicles transmitted by customers.
  • Investigate transmission errors.
  • Verify vehicle eligibility for the sale and provide customers with inventory reconciliation reports.
  • Communicate with the Transportation department to arrange transportation or obtain related information.
  • Pull transmitted transportation charges as needed.
  • Establish customer vehicle files in the computer system and update them continuously with standardized abbreviations.
  • Seek floor price information from account representatives and enter it into the computer system.
  • Review, enter, and update vehicle condition report information in the computer system.
  • Pull and print electronic condition reports and provide copies to customers as necessary.
  • Prepare sale vehicle run processes, including run order, scheduling, and customer notifications, in coordination with account representatives and coordinators.
  • Follow up on vehicle preparation for sale by reconciling incoming bills against ordered work/repairs.
  • Contact customer coordinators, service vendors, and/or account representatives when information is missing or problems occur.
  • Communicate with the accounting department to balance the sale and perform post-sale invoicing for accounts receivable.
  • Maintain and update physical vehicle inventory files documenting all activities relative to each customer vehicle.
  • Communicate with the Online Operations department to prepare assigned vehicles for online programs.
  • Prepare various reports, lists, and handouts such as sales and expense reports, sold vehicles by net amounts reports, dealer attendance reports, lot and transportation damage reports, and block summaries.
  • Demonstrate safety commitment by following all safety and health procedures and modeling related behaviors.
  • Actively participate in support of all safety activities aligned with Safety Excellence.
  • Perform other duties as assigned by management.
