About The Position

This is an administrative position focused on managing inventory for Commercial clients. It involves significant verbal and email communication, both internally between departments and externally with clients. Key responsibilities include problem-solving, auditing expenses, and ensuring client expectations and deadlines are met regarding inventory. The role requires substantial multi-tasking and prioritization to manage accounts efficiently. Teamwork and a positive attitude are essential for success in this position.

Requirements

  • High School Diploma/GED and 3 years’ experience in a related field.
  • Ability to work in a fast-paced environment, be receptive to change, and able to multitask.
  • Prior clerical or administrative experience required.
  • Proficient in Microsoft Excel required.
  • Commitment to providing excellent customer service required.
  • Must be able to operate adding machines and other office equipment (i.e., copier, fax machine, etc.).
  • Ability to sit or stand for prolonged periods of time.
  • Communications and Organizational skills required.
  • Must be able to clear a pre-employment drug test (marijuana drug test is not administered for this position, but possession, use, or being under the influence of illegal drugs during work hours, on company property, and/or in company vehicles is prohibited).

Responsibilities

  • Perform data entry of required information in the AS 400 system, including vehicle identification numbers (VIN) and other descriptive details.
  • Manage account relationships, maintaining effective communications and ensuring customer requirements are met.
  • Maintain vehicle files, verify title information, log in titles upon receipt, and file them in appropriate folders.
  • Collaborate with the title department to ensure a negotiable title is obtained for each vehicle assigned to the account.
  • Work with the posting clerk to ensure all vehicle charges (reconditioning, transportation, etc.) are applied to the correct vehicle in the AS400 system.
  • Respond to customer inquiries related to vehicles, providing quality service and assisting in problem resolution.
  • Pull and update consignment inventory information for vehicles transmitted by customers.
  • Investigate transmission errors.
  • Verify vehicle eligibility for sale and provide customers with inventory reconciliation reports.
  • Communicate with the Transportation department to arrange necessary transportation or obtain information, including transportation condition reports and bills.
  • Pull transmitted transportation charges as needed.
  • Establish customer vehicle files in the computer system.
  • Continuously update vehicle files using standardized abbreviations to accurately record vehicle location, condition, special announcements, and other relevant activities.
  • Seek floor price information from account representatives and enter it into the computer system.
  • Review, enter, and update vehicle condition report information in the computer system.
  • Pull and print electronic condition reports, providing copies to customers as needed.
  • In coordination with account representatives, account operations coordinators, and account-specific procedures, prepare sale vehicle run processes, including run orders, scheduling, and customer notifications.
  • Follow up on vehicle preparation for sale by reconciling incoming bills against ordered work/repairs for each Institutional customer vehicle.
  • Contact customer coordinators, service vendors, and/or account representatives when information is missing or problems arise.
