Commercial Roofing Office Administrator
About The Position
M&M Commercial Roofing is hiring a Construction Administrator to join our commercial roofing team in Crete, Illinois. This is a full-time, 100% in-office position supporting commercial roofing projects from signed contract through production, invoicing, project closeout, and warranty completion. You’ll work closely with our Commercial Sales and Production teams to keep projects organized, documentation accurate, materials and permits on track, and jobs moving forward. This role is an important part of the commercial roofing operation, helping Sales and Production make sure projects are organized, complete, and ready to move forward.
Requirements
- 3+ years of experience in construction administration, construction project coordination, job processing, roofing administration, or a related role
- Strong attention to detail and accuracy
- Ability to organize and manage multiple active projects at the same time
- Strong follow-through and time-management skills
- Professional written and verbal communication
- Ability to identify missing information, ask questions, and follow issues through to completion
- Comfortable working independently while being part of a collaborative team
- Ability to work full-time, in person at our Crete, IL office
Nice To Haves
- Previous roofing, exterior remodeling, or commercial construction experience
- Experience coordinating permits with municipalities
- Experience with construction management or job-management software
- Experience with material ordering, invoicing, billing, or construction project documentation
- Proficiency with Microsoft Office
Responsibilities
- Process commercial roofing projects from signed contract through invoicing, closeout, and warranty submission
- Create, maintain, and organize complete construction job files
- Review contracts, scope, pricing, and project documentation for missing or incomplete information
- Work directly with Commercial Sales Executives to resolve documentation or job-processing issues
- Coordinate with Production to ensure projects are ready before being released for construction
- Submit, track, and close building permits with municipalities and governing agencies
- Order roofing and construction materials and coordinate deliveries
- Communicate with suppliers and resolve material or delivery discrepancies
- Prepare customer invoices and assist with payment tracking
- Maintain accurate project records throughout the entire job lifecycle
- Communicate professionally with vendors, municipalities, property managers, customers, Sales, Production, and other internal teams
- Identify potential administrative problems or project delays early and help drive them to resolution
