OVERVIEW: The Commercial Programs Manager owns the end-to-end execution of customer incentive programs across three core areas of responsibility: Contracts Administration, Data Collection, and Payouts. Reporting to the Sr. Manager, Sales Contracts & Reporting, this role ensures accuracy, scalability, and full SOX compliance while serving as the primary administrative point-of-contact for accounts. This position partners cross-functionally with Financial Planning, Sales Operations, Sales, Data Analytics, and direct customers to drive enrollment, maintain data integrity, and deliver timely reimbursements.

Requirements

  • Demonstrated ownership of customer incentive, chargeback, pricing-compliance, or similar commercial finance programs
  • Excellent organizational skills with the ability to manage multiple workstreams and deadlines simultaneously
  • Effective communicator who drives accountability across technical, financial, and commercial stakeholders
  • Working knowledge of at least one ERP platform (QAD, SAP, Oracle, NetSuite, or similar)
  • Experience using CRM systems for account management, program tracking, and translating data into actionable insights
  • Bachelor’s degree in Finance, Accounting, Business, or equivalent along with 3-5 years managing customer incentive, chargeback, or pricing-compliance programs, preferably within medical devices or other regulated industries.
  • Experience with Salesforce and Power BI preferred; exposure to QAD or similar ERP systems strongly desired.
  • Training to be completed per the training plan for this position as maintained in the document control system.
  • Microsoft Excel – Advanced
  • ERP systems (QAD preferred)
  • Power BI or comparable analytics platforms
  • Experience with incentive-management or pricing tools highly desirable.

Responsibilities

  • Contracts Administration. Customer- and sales-facing ownership of the full contract lifecycle, from initial approval through enrollment, with a focus on data integrity and pipeline visibility.
  • Draft, review, and manage customer contracts including formal study offers, approval documentation, and enrollment agreements using standardized templates
  • Maintain data integrity and accuracy across all sales pipeline stages, ensuring contract status is current in internal tracking systems and CRM (Salesforce)
  • Configure and manage automated enrollment reminders to reduce cycle time and minimize drop-off
  • Serve as the primary administrative contact for corporate accounts, fielding inquiries and routing requests through proper channels ([email protected])
  • Partner with Sales to communicate program terms, timelines, and enrollment status to field teams and customers
  • Maintain audit-ready contract records and documentation in compliance with SOX requirements
  • Data Collection. Acts as support and liaison across the teams responsible for the device data pipeline, coordinating transmission issues, field connectivity, and end-to-end data flow from source to reporting.
  • Apply general project management discipline to data collection activities, including timeline tracking, status reporting, and stakeholder communication
  • Manage data collection across connected devices and manual data pull processes, ensuring adherence to the 30-day collection timeline
  • Develop and maintain a working understanding of transmission device connectivity, including JUNO platform functionality and common failure modes
  • Guide the data transmission pipeline from manual data ingestion through Azure Cloud to Power BI, ensuring data flows accurately and on schedule
  • Escalate systemic issues as appropriate to address delays in the manual data collection process
  • Payouts. Financial ownership of program reimbursements, including payment preparation, reconciliation, accruals, and group-level payment reporting.
  • Prepare and submit accurate payment documentation to Accounts Payable / Finance for processing
  • Ensure connected device payments (approximately 85%) are processed within 30 days of end-of-quarter and manual-pull payments (approximately 15%) within 60 days of end-of-quarter
  • Manage accruals and coordinate with Financial Planning & Analysis on forecasting and budget impact
  • Build and maintain payout reporting, including historical payment amounts, reimbursement calculators, and quarterly summaries
  • Identify and resolve payment discrepancies, working with Finance and field teams to ensure accurate and timely resolution
  • Reporting & Tools Ownership. Owns and maintains field-facing tools including enrollment dashboards, treatment visibility, reimbursement calculators, historical payment reporting, and Salesforce integrations. Drives accountability across cross-functional teams to validate data accuracy, following up to ensure timely and reliable reporting
