About The Position

This position provides administrative support to a work unit and performs duties associated with loan processing, including preparing, processing, disbursing, and maintaining approved new loans, as well as renewals and modifications to existing loans, in accordance with company procedures and guidelines. The role may also involve performing and/or providing backup for specialized duties related to managing flooring lines of credit.

Requirements

  • A high school degree or GED is required.
  • One year of similar or related experience.

  • Skills in computer operations/use, including working knowledge of Microsoft applications.

Responsibilities

  • Prepare new and renewal loan documents and correspondence, including letters, memoranda, and various forms and reports in rough and final draft for lending staff.
  • Proofread documents for accuracy and correct errors.
  • Prepare loan files with all appropriate documentation.
  • Meet with lenders to discuss Credit Authorizations and Loan Checklists to determine loan types and necessary prep work.
  • Prepare all LaserPro and supporting loan documents, checking for accuracy and correcting errors.
  • Prepare loan files with due diligence loan documentation.
  • Assist officers in preparing information for the loan committee.
  • Complete due diligence to validate information required for loan/collateral documentation before and after loan closings.
  • Correspond with vendors to obtain and review corporate and collateral documentation.
  • Order title searches/commitments and/or complete UCC and other lien searches, appraisals, credit reports, OFAC, certificates of existence, registered principals, flood determinations, and environmental reports.
  • Check documentation for accuracy, completeness, and compliance with loan approval guidelines and internal policies.
  • Prepare all collateral documents and changes, transfers of equity, lien filings, and deeds of trust.
  • Update files/records internally and with the State and County.
  • Identify, input, and maintain outstanding collateral and financial items in a tracking system to ensure follow-up items are reported, tracked, and resolved.
  • Maintain communication with lenders to ensure they and/or customers are aware of any documentation exceptions.
  • Prepare tickets, wires, and checks for disbursement of funds when loans are closed.
  • Process loan information and debit/credit forms for entry into the system.
  • File all collateral security items with designated vendors and perform CIF level maintenance.
  • Update/verify BSA required information, including Beneficial Ownership.
  • Prepare compliance and/or data integrity documents such as BSA, SLTV, FHLB, Officer Comments, CRA, and HMDA.
  • Process paid notes and ensure collateral is not used for any other loan before releasing collateral and applicable insurance with vendors.
  • Prepare lien releases and applicable correspondence.
  • Update Collateral Tracking and Synergy and/or paper file with appropriate documentation.
  • Perform file maintenance to ensure quality control of documents and processes.
  • Scan and archive, index, and verify all loan documents into the database.
  • Respond to customer requests and credit inquiries courteously and promptly.
  • Answer phones and greet walk-in customers promptly and courteously.
  • Assist with loan-related questions and problems, such as loan histories, account/billing statements, transfers, and loan payments.
  • Process mail as needed.
  • Perform Notary services for loan closings and walk-in traffic.
  • Complete correspondence upon request.
  • Provide assistance and backup to other areas in the department as needed.
