About The Position

This role involves supporting the commercial lines department by managing client information, processing policy documents, and ensuring accurate and timely communication with clients and insurance carriers. The assistant will be responsible for data entry, policy review, certificate issuance, and maintaining organized electronic files. This position requires attention to detail and adherence to agency procedures and E&O guidelines.

Requirements

  • Proficiency in inputting customer applications into an agency management system.
  • Ability to assemble policy-related documents for submission.
  • Skill in reviewing new and renewal policies for accuracy.
  • Capability to manage policy delivery and mailing to clients.
  • Understanding of premium increase thresholds requiring notification.
  • Experience in monitoring the renewal process.
  • Ability to issue certificates of insurance and evidence of property forms.
  • Experience in handling client and carrier phone calls.
  • Proficiency in maintaining a suspense system for follow-ups.
  • Knowledge of carrier interfacing procedures.
  • Familiarity with attaching and filing documents in AMS.
  • Ability to update computer systems for policy changes (cancellations, reinstatements).
  • Experience in sending form letters for cancellations.
  • Skill in inputting past due notices and managing activities.
  • Ability to follow up on requests for information.
  • Experience in handling routine correspondence.
  • Familiarity with agency E&O guidelines.
  • Ability to maintain organized electronic files.
  • Skill in distributing faxes and emails.
  • Proficiency in updating AMS with activities and suspenses.

Responsibilities

  • Input customer applications into the agency management system from carrier rating applications.
  • Assemble applications, photos, appraisals, etc., for submission to insurance carriers for policy issuance.
  • Check new and renewal policies for accuracy in rating, typing, and coverages.
  • Ensure policy documents are delivered and/or mailed to clients.
  • Advise service representative if premium increase is 15% or higher.
  • Monitor the renewal process by verifying all policies on the expiration list have been renewed or rewritten.
  • Issue certificates of insurance and evidence of property forms per information given by the account manager and send them to clients.
  • Issue renewal certificates.
  • Receive phone calls from clients and companies for certificates of insurance and evidence of property forms and issue them according to agency procedures.
  • Maintain a suspense system to follow up on outstanding orders, correspondence, and reports, and follow up on overdue and suspense items.
  • Handle carrier interfacing per agency standards.
  • Attach and file documents in AMS.
  • Update computer for cancellations and reinstatements.
  • Send out form letters to clients on final cancellations.
  • Input past due notices into activities.
  • Follow up on photo requests and requests for additional information.
  • Handle routine correspondence between carriers, agency, and insured.
  • Be familiar with and follow agency E&O guidelines.
  • Maintain electronic files in an orderly, up-to-date manner.
  • Distribute faxes and emails sent to the support mailbox/fax line.
  • Update AMS with activities or suspenses.
  • Perform special projects at management's request.
