About The Position

The Bureau of Immunization (BOI) aims to prevent vaccine-preventable diseases (VPDs) through comprehensive immunization programs for all ages. BOI works to reduce vaccination disparities and responds to VPD outbreaks. The Centralized Immunization Registry (CIR) is a key system for collecting and sharing vaccine administration records in New York City (NYC) with healthcare providers and public health agencies. The NYC Vaccines for Children (VFC) program provides federally funded vaccines to eligible children aged 0-18. This College Aide position will provide administrative and data support to both the CIR and VFC programs, assisting with tasks such as immunization record requests, facility registrations, data entry, correspondence, provider outreach, and data quality projects. The role involves handling confidential health information and requires attention to detail.

Requirements

  • Matriculation at an accredited college or graduate school.
  • Employment is conditioned upon continuance as a student in a college or graduate school.
  • Specific course of study in information technology, computer science, management information systems, data processing, or closely related field (for Assignment Level II and III).
  • 9 semester credits in an acceptable course of study (for Assignment Level II and III).

Responsibilities

  • Support the CIR team in responding to record requests received by phone, fax and e-mail.
  • Assist with facility CIR registrations.
  • Support patient record review tasks.
  • Provide administrative support for vaccination investigations, including compiling documents, tracking case information, and basic data entry.
  • Assist with the VFC program vaccine ordering and distribution workflow through data entry, order tracking, and follow-up communications.
  • Perform general administrative tasks for the VFC program, such as filing, correspondence, and preparing routine reports.
  • Support VFC healthcare provider outreach by preparing outreach materials, scheduling calls or visits, and tracking follow-up.
  • Assist with CIR and VFC program data quality projects
