About The Position

Genserve is a multi-entity field service company serving commercial, industrial, and institutional customers across the United States. The Collections & Cash Applications Analyst works in Genserve’s corporate Order-to-Cash organization in Tampa, a function that is actively being built out. The analyst owns the back half of the order-to-cash cycle, converting billed receivables into applied cash. The role combines commercial collections across a national customer portfolio with accurate, timely cash application and reconciliation. It requires investigating why payments are delayed, identifying systemic causes, and escalating them to upstream owners. The role operates in a multi-entity environment across Sage, NetSuite, Salesforce, and QuickBooks, with processes that vary by location and maturity. This is a data-forward role involving analytical work and AI-assisted tools to improve accuracy and throughput. The analyst is responsible for verifying AI-generated matches, summaries, and customer correspondence before relying on them, and for monitoring and improving the tools’ performance.

  • Associate or bachelor's degree in Accounting, Finance, Business, or equivalent experience.
  • 3–5 years of commercial collections and/or cash application experience, ideally in a multi-entity environment.

  • Strong Excel skills, including pivots and lookups.
  • Strong data and analytical skills, including the ability to build analyses, identify patterns, and defend conclusions.
  • Working fluency with AI tools and demonstrated willingness to use them to improve accuracy and throughput, along with judgment to verify AI output before relying on it.
  • Ability to remain firm in collections while preserving customer relationships.
  • High tolerance for ambiguity and ability to operate and prioritize with incomplete information and undefined processes.

Nice To Haves

  • Exposure to multiple platforms among Sage, NetSuite, Salesforce, and QuickBooks.
  • Experience with AI-enabled or automated cash application, remittance capture using OCR or AI extraction, or collections prioritization tools.
  • Advanced analytical tooling experience, such as Power BI, Tableau, SQL, or comparable tools.
  • Experience in equipment, field service, or construction/contract billing environments.
  • Familiarity with lien rights, prompt-pay statutes, or mechanic's lien processes.
  • Experience with customer AP/procurement portals.

Responsibilities

  • Own collections for an assigned national portfolio, conduct proactive outreach on past-due balances, and escalate accounts according to credit policy.
  • Monitor credit, analyze customer payment patterns, and flag deteriorating risk exposure.
  • Negotiate payment plans within authorized limits and recommend accounts for reserves, outside collections, or litigation referral.
  • Manage dunning cycles and document collection activity on every account.
  • Apply incoming ACH, wire, check, and credit card payments accurately and on schedule across multiple entities and systems.
  • Investigate and clear unapplied and unidentified cash, and research short-pays and remittance discrepancies.
  • Process credits and debits, reconcile the AR sub-ledger to the general ledger, and balance daily against bank activity.
  • Build and maintain short-cycle collections forecasts for the assigned portfolio.
  • Identify recurring causes of non-payment, such as billing defects, missing documentation, and portal failures, and route them to responsible upstream owners.
  • Track DSO, aging movement, and collection effectiveness, and surface at-risk accounts to leadership.
  • Prepare write-off and reserve recommendations supported by analysis.
  • Use AI-assisted cash application and collections prioritization tools, and personally resolve exceptions the model cannot handle.
  • Verify AI-generated matches, account summaries, and drafted customer correspondence before they are used with customers or posted to the ledger.
  • Monitor AI match rates and false positives, tune rules and feedback loops, and escalate unreliable AI output.
  • Build aging, DSO, and payment-behavior analyses in Excel and identify trends, cohorts, and root causes.
  • Identify repetitive collections and cash-application steps suitable for AI or rules-based automation and propose them with supporting analysis.

Benefits

  • 401(k) retirement plan.
  • Company-provided life, short-term disability, and long-term disability coverage.
  • Opportunity to shape processes, systems, and standards in a corporate function in active build-out.
  • Direct exposure to an enterprise ERP transition and a live AI and automation agenda.
