About The Position

The Collateral Specialist II ensures accurate lien perfection and timely release of collateral while safeguarding original documents and maintaining compliance with state and federal regulations. This role manages complex collateral processes, supports DMV filings, and oversees title tracking systems to maintain data integrity. In addition to mentoring junior staff and handling escalations, the position drives process improvements to reduce errors and enhance the overall member experience. This position offers a flexible hybrid work arrangement, allowing employees to balance in-office collaboration with the benefits of remote work. Requirements

  • High School diploma or equivalent required, associate’s degree or recent work experience preferred.
  • Minimum of 4 years related experience or relevant education.
  • Comprehensive knowledge in collateralization of consumer loan products required.
  • Ability to understand each state’s regulations and rules regarding securing a title.
  • Ability to operate loan processing system, computer, calculator, telephone and other equipment as needed.
  • Stay current on and in compliance with all Credit Union policies and state and federal regulations regarding consumer lending.
  • Knowledge of software/computer systems required to complete job duties – Fiserv DNA, Nautilus, Word, Excel etc.
  • Competence with use of the Internet and Credit Union Intranet.

  • All positions that have lending responsibilities must comply with all requirements under the SAFE ACT, as well as the Credit Union’s policies and procedures related to the SAFE ACT.
  • This includes an obligation on the employee’s part to ensure that NMLA registration pertaining to the SAFE ACT is kept current.
  • The employee must notify the Credit Union within 30 days of any changes that need to be reflected on the NMLS registry.

Responsibilities

  • Monitor collateral reports to identify loans requiring lien perfection or release; prepare and mail necessary forms to members.
  • Secure and manage original collateral documents (titles, deeds, satisfactions) in a controlled file room; maintain accurate records of transfers to offsite storage.
  • Handle large volumes of calls and requests to the collateral inquiries queue from members and employees regarding title and UCC filing documents, Letters of Guarantee, and miscellaneous questions.
  • Receive, sort, and process all incoming and outgoing mail, including courier and USPS items, for Lending Operations.
  • Work closely with the local DMV, receiving and filing paperwork with 100% accuracy to apply for collateral security on titled collateral.
  • Continually act to reduce the number of unperfected titles month after month, by offering suggestions to improve the Credit Union’s processes to improve efficiency and quality.
  • Maintain title application data in core banking and title tracking systems, release liens within required timeframes.
  • Serve as escalation point and mentor for junior collateral staff; provide backup support as needed.
  • Adhere to all policies, procedures, and training requirements, if revisions to these are required update documentation promptly.
