About The Position

Aptive Resources is hiring a coding supervisor to lead its remote coding team supporting Veterans Affairs medical centers across VISN 7. You'll be the main contact for the VA's HIMS staff, manage coder quality and productivity, and make sure every facility receives accurate, on-time work. Across eight facilities, the team will handle about 260,000 coded encounters a year.

Requirements

  • An active RHIA, RHIT, CCS, CCS-P, CPC, or CPC-H credential.
  • At least 3 years of coding experience, plus supervisory, lead, or QA experience.
  • Strong knowledge of inpatient and outpatient coding, including ICD-10-CM/PCS, CPT, HCPCS, DRGs, E/M, and NCCI edits.
  • Completion of an accredited coding, HIM, or health information technician program.
  • Strong written and verbal communication skills for working with VA leaders and clinicians.
  • US citizenship, and the ability to pass a federal background investigation (NACI) and fingerprinting.
  • Complete the VA's annual Privacy and Information Security Awareness and HIPAA training (TMS 10176 and 10203).

Nice To Haves

  • Experience in VA or VHA HIMS, including VistA, CPRS, PTF, PCE, and Integrated Billing.
  • Experience managing a remote coding team across multiple facilities.
  • A coding auditing or QA background.

Responsibilities

  • Act as the main point of contact for the VA's HIMS supervisors and coding leads, and be available at least during Charleston VA Medical Center business hours (Eastern Time).
  • Assign work to coders and track it against each facility's turnaround times. Notify the VA by the second business day if a deadline is at risk.
  • Run ongoing quality reviews of at least 5% of all coded data (ICD-10-CM/PCS, CPT, DRGs, and abstracted data), track results by coder, and send weekly results to each facility.
  • Write corrective action plans and coach coders when accuracy falls below 95%.
  • Answer coder questions about unclear documentation, and escalate them to VA contacts when needed.
  • Manage re-reviews of records the VA questions before billing and responses to claim denials.
  • Help prepare monthly progress reports, quarterly summary reports, and kickoff materials such as work plans, staff rosters, and training records.
  • Train coders on VA policies, VHA coding guidelines, and VistA and CPRS workflows, and track mandatory VA training and background investigations.
  • Plan for staffing changes, including a two-week overlap when a coder is reassigned.
