About The Position

The Co-Counsel Coordinator (CCC) assists the Business Development Attorney in managing all inbound and outbound referrals at Daniel Stark Law. This includes Mass Torts, Auto, and Non-Auto case types. The CCC ensures all processes are followed on all referrals while providing Remarkable Customer Service to clients, potential new clients, and Co-Counsels. You will monitor referral metrics in real time and manage the case lifecycle from placement to fee collection. Requirements

  • Manage a caseload of 250+ outbound referrals with the Business Development Attorney
  • Ability to resolve client complaints involving co-counsel firms and involve the Business Development Attorney
  • Proficiency in using reports and dashboards (Litify, Lexamica, and LRN) for workflow purposes
  • Experience in following up on fees from outbound referrals and ensuring fees are deposited and accounted for
  • Ability to assist with finding lost clients by running searches, sending letters, and connecting with the co-counsel firm

Nice To Haves

  • Proven ability to manage both Pre-K and Post-K outbound referral workflows
  • Strong track record of ensuring all leads are processed in a timely and professional manner
  • Expertise in managing Mass Tort referral cases from contract execution to fee deposit
  • Ability to coordinate with accounting to ensure referral fees are sent to referring attorneys with proper letters
  • Experience identifying when an inbound referral is from a new source and referring them to the Business Development Attorney for potential partnership

Responsibilities

  • Manage incoming leads from the Referrals email distribution, Lexamica, and LRN.
  • Assist in the identification, creation, and evaluation of all inbound referrals.
  • Complete intakes, evaluate them, and convert them from leads.
  • Ensure all leads are accepted or declined in a timely manner.
  • Assist in shopping out outbound referrals (Post-K and Pre-K).
  • Work with the Business Development Attorney to place PROs with the correct co-counsel firm.
  • Send necessary information and follow up until a decision is made.
  • Send daily follow-up reports to determine if the intake is accepted or declined.
  • Ensure joint contracts are executed by Attorneys and saved in both inbound and outbound cases—secure agreement addenda signed by all parties.
  • For Mass Torts, confirm receipt of executed contracts and fee-sharing agreements.
  • Ensure all legal documents are sent to co-counsel.
  • Maintain clean data, systems, and processes in the Business Development Department.
  • Properly notate Litify, ensure proper matter plans and teams are added, and append inbound referral task sets.
  • Work with leadership to ensure the Dashboard scorecard is updated.
  • Process mail, faxes, and emails to ensure all documents are saved.
  • Obtain updates every 90 days from co-counsel on outbound referrals.
  • Provide 90-day case updates to co-counsel firms on inbound referrals.
  • Answer calls and emails from partners and involve the Business Development Attorney when needed.
  • Ensure all correspondence is documented in Litify.
