About The Position

The CMA-SURGERY SCHEDULER is responsible for a variety of tasks related to patient care coordination, surgical scheduling, and administrative support within a physician practice. This role involves direct patient interaction for education and instruction, obtaining necessary authorizations and clearances, managing patient follow-ups, and assisting physicians with procedures. The position also requires maintaining a sterile environment for instruments and handling specific medical paperwork. The ideal candidate will support the mission and values of Johnson Memorial Health (JMH) and adhere to all applicable regulations and policies.

Requirements

  • Associate degree in Medical Assisting and three years of experience working in a physician practice in a clerical or clinical role; OR High school diploma or equivalent and five years of experience working as a Medical Assistant.
  • At least one year of experience in a surgical practice setting required.
  • Current CMA (AAMA), RMA, NCMA or CCMA certification required.
  • Current BLS or CPR for Healthcare Providers certification required.

Responsibilities

  • Schedules surgeries and coordinates with the Surgery Department to ensure appropriate surgical equipment is available for specific procedures.
  • Schedules pre-anesthesia testing and post-operative appointments for patients.
  • Ensures consent for surgical procedures is signed and on file prior to the procedure.
  • Reschedules surgeries if issues are identified during the pre-anesthesia testing timeframe.
  • Performs pre-determination of high-tech surgical procedures such as bariatric and plastic procedures.
  • Provides pre and post-operative education and instructions to patients and their families, ensuring clear understanding.
  • Assigns proper CPT codes for surgical procedures and communicates this information to relevant departments (prior authorization, Surgery Department, Insurance Verification).
  • Obtains prior authorization for procedures and assists with retro prior authorizations if the performed procedure differs from the original request.
  • Provides written and verbal communication to multiple JMH departments for coordination of care.
  • Obtains medical clearance from primary care providers and arranges appointments for such clearance.
  • Obtains cardiology clearance or schedules cardiology appointments for additional testing if needed.
  • Gives clear instructions to patients regarding medication holds prior to surgery and documents this information in the patient's medical record.
  • Maintains, organizes, and reviews patient reminder lists and contacts patients to schedule follow-up colonoscopies and upper endoscopies.
  • Checks the multi-patient task list daily for clinical tasks that need to be addressed.
  • Assists physicians in the exam room with exams, dressing changes, suture/staple and drain removals, and minor surgical procedures.
  • Cleans, sterilizes, and prepares instruments in packs or individually for procedures.
  • Maintains cleanliness of the Autoclave and runs monthly testing to ensure proper functioning.
  • Requests medical records from outside entities necessary for surgical decision-making.
  • Completes Family Medical Leave Act/Leave of Absence, Short-Term Disability, and Long-Term Disability paperwork for patients.
  • Communicates and supports the Mission and Values of JMH.
  • Conducts all activities in compliance with applicable laws, regulations, standards, and hospital policies, including Blood and Body Substance Precautions.
  • Performs other related duties as assigned by the Practice Administrator.
