About The Position

The CLSD Grant Coordinator provides essential administrative and operational support to the Comprehensive Literacy State Development (CLSD) Office. This role ensures the efficient execution of grant-related activities by managing documentation, coordinating travel, maintaining accurate data, and assisting with day-to-day administrative tasks. The position requires a detail-oriented individual who can prioritize multiple responsibilities and work collaboratively in a fast-paced, grant-funded environment. This role requires a consistent, in-person presence at the designated workplace in Oklahoma City, Oklahoma, with no remote, telecommuting, or hybrid options. This position is a federal grant funded through the Comprehensive Literacy State Development Grant. The funding for this position will end on September 30, 2029.

Requirements

  • Bachelor’s degree in Business or a related field
  • Four (4) years of clerical or office experience
  • Or an equivalent combination of education and experience, substituting one year of relevant experience for each year of the required education.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organizational and time management skills.
  • Ability to handle sensitive information with the utmost confidentiality.
  • Adaptability and willingness to learn new tools and processes.
  • Strong problem-solving skills and a can-do attitude.

Responsibilities

  • Create, format, proofread, and edit documents, reports, and official correspondence.
  • Organize and maintain both physical and digital files for easy retrieval and reference.
  • Arrange travel accommodations, including flights, lodging, and transportation for CLSD team members.
  • Prepare and process travel authorizations and reimbursement claims in a timely and accurate manner.
  • Accurately enter and update program-related data into agency systems and maintain organized records to ensure data integrity and accessibility.
  • Provide general administrative support for CLSD staff and assist with special projects as assigned.
  • Work collaboratively with other administrative personnel and divisions to ensure efficient operations.
  • Handle incoming and outgoing communications such as emails, phone calls, and letters.
  • Serve as a point of contact for internal and external stakeholders, including assistance with the Grants Management System (GMS).
