Company-Wide Expectations Display company core values at all times: Integrity ~ Commitment ~ Humility ~ Growth Position Summary The Closings Manager is responsible for the overall success of the administrative file workflow and associated financial execution required to fund real estate purchases. You will lead the Transaction Coordinator team while serving as the ultimate owner of file integrity, compliance, and on-time transactional financial execution. This role requires bridging operational efficiency with financial oversight. As the Closings Manager, you will focus on leadership, process optimization, and complex issue resolution:

Requirements

  • 5+ years of experience in administrative processing, financial operations, or real estate-based transactions.
  • 2+ years of experience in a leadership, supervisory, or management role.
  • Demonstrated ability to manage multiple priorities and meet strict deadlines consistently.
  • Strong organizational, time management, and problem-solving skills, with a high level of accuracy and attention to detail.
  • Familiarity with transactional financial tasks and funding processes.

Responsibilities

  • Team Leadership & Development: Lead, mentor, and manage the team of Transaction Coordinators, setting performance standards and ensuring effective workflow execution.
  • Deadline Ownership & Workflow Management: Oversee and own all file-related deadlines from initial intake through funding completion. Ensure the team develops and maintains effective tracking systems to monitor task management, key milestones, and funding timelines.
  • Risk Mitigation & Process Improvement: Proactively identify potential bottlenecks and take action to mitigate risks across the entire active file pipeline, driving files forward and preventing delays. Continuously refine processes for efficiency and accuracy.
  • Compliance & File Integrity: Manage the operational cadence for processing a high volume of files, ensuring every file review meets internal policy and external compliance requirements. Ensure all documentation (digital and/or physical) is maintained as audit-ready.
  • Financial Oversight: Supervise and verify transactional funding tasks. This includes ensuring the preparation of funding transactions is accurate, verifying financial details (pricing, terms, taxes, payment instructions) within each file, and overseeing the reconciliation of funding transactions.
  • Communication & Escalation: Serve as the primary point of contact for complex issues and high-level internal/external inquiries related to file processing and funding. You will collaborate closely with finance, operations, title and attorney partners, and other departments to ensure clear, consistent communication and smooth file progression.
