About The Position

The Clinical Services Representative assists the clinical staff by performing a variety of clerical tasks that ensure the efficiency of the unit and provide outstanding customer service to our patients and visitors. This role relies on established guidelines to accomplish tasks and works under close supervision.

Requirements

  • CPR for healthcare provider through AHA (within 3 months of employment)

Responsibilities

  • Assembles charts for new admissions, requisitions lab work, records admission in log book, and assists nurses with new admissions (e.g., taking specimens to the lab, retrieving supplies).
  • Correctly disassembles discharge charts.
  • Prepares unit for peak times by preparing admission packets, transport packets, etc., and ensures copies of necessary paperwork are clear.
  • Assists with patient charges for equipment and procedures as needed.
  • Ensures the admission log book is accurate with admits, PKU entry dates, and discharge dates. Keeps the midnight census sheet accurate and up-to-date.
  • Assists in maintaining NICU equipment, cleans isolettes, warmers, and cribs promptly, completes requisitions for broken equipment, and notifies the director of needed supplies or equipment.
  • Orders routine stock supplies in a cost-effective manner, stocks supplies at bedside in appropriate areas, and contributes to the overall cleanliness of the unit.
  • Notifies the nurse of any lab/X-ray results before filing records in the chart.
  • Ensures PKUs are mailed promptly to the State Office and records the mailing date in the PKU logbook.
  • Competent in performing OAE screening under the direction of the audiologist.
  • Observes security procedures for newborns and protects the department from outsiders.
  • Greets visitors courteously, directs traffic flow, notifies nurses of parents arriving for visits, and answers the telephone courteously, directing calls to the appropriate personnel.
  • Assists physicians and other healthcare professionals as needed and assists as requested during an emergency situation.
  • Observes and enforces department/hospital policy concerning no smoking, telephone usage, dress code, and other rules governing conduct.
  • Appropriately identifies self to others (patients, patient families, staff, physicians, etc.).
  • Accepts responsibility for actions and omissions and is responsive to identified needs for change.
  • Willing to adjust personal schedule to meet hospital staffing needs when requested (including weekends and holidays).
  • Reports to the department on time and prepared to begin assigned duties.
  • Provides proper notification and advance notice for absence or tardiness and takes corrective action to prevent recurrences.
  • Supports and encourages a harmonious working relationship within the department, other disciplines, and departments, promoting an environment for an interdisciplinary team approach. Motivates staff in a positive manner.
  • Self-motivated; performs job duties utilizing effective time management and seeks additional work as time permits.
  • Seeks guidance about questionable or uncertain situations.
  • Demonstrates a cost-conscious attitude toward staffing, supplies, and departmental function.
  • Obtains and uses information to improve patient outcomes and individual and hospital performance. Maintains interdepartmental communication through utilization of available resources.
  • Follows established hospital guidelines regarding appropriate access of information.
  • Utilizes hospital and/or departmental manuals appropriately (e.g., Safety Manual, MSDS Manual, Policy & Procedure Manuals).
  • Respects each patient's rights and conducts business relationships with patients and the public in an ethical manner (e.g., confidentiality, privacy, security, preferences).
  • Reflects the hospital's values and sensitivity to ethical and compliance principles in daily activities.
  • Able to institute and follow policy and procedures related to ethical issues.
  • Follows appropriate channels of communication to effectively express ideas, issues, concerns, suggestions, and questions.
  • Attends required in-services.
  • Attends and participates in a minimum of 3/4ths of departmental meetings.
  • Meets hospital-wide and department-specific educational requirements.
  • Participates in hospital-wide and department-specific Performance Improvement projects and makes suggestions for improvement.
  • Identifies self or department improvement needs and seeks appropriate resources.
  • Maintains a safe, functional, and effective environment for patients, staff, and others.
  • Responds to Emergency Preparedness Plan according to hospital policy (e.g., Code Blue, Code Red, Code White).
  • Knowledgeable of the location and use of emergency response equipment (e.g., fire extinguishers, fire alarms, crash carts).
  • Maintains a safe and orderly work area and cleans equipment as needed.
  • Maintains equipment in safe and proper working condition through correct use and appropriate notification of malfunction.
  • Completes occurrence reports in a timely manner when indicated.
  • Applies appropriate ergonomic principles to reduce the potential for job-related injuries.
  • Can implement all policies and procedures to identify and reduce the risks of acquiring and transmitting infections.
  • Maintains a current Employee Health screening status as per hospital policy.
