We are seeking a highly organized, detail-oriented, and dependable Part-Time Clinical Scheduler to join our Worcester, Massachusetts team. Requirements

  • Previous experience in home health scheduling, healthcare coordination, medical office administration, or a related healthcare position preferred.
  • Home health or home care industry experience strongly preferred.
  • Knowledge of clinical visit scheduling, patient care coordination, and clinician assignments.
  • Familiarity with electronic medical records (EMR), scheduling software, and Microsoft Office.
  • Excellent telephone, written, and verbal communication skills.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Ability to problem-solve, prioritize competing demands, and work independently.
  • Professional, dependable, and team-oriented with a strong commitment to patient care.

Responsibilities

  • Coordinate and maintain daily and weekly schedules for field clinicians, including RNs, LPNs, PTs, OTs, and other clinical staff.
  • Schedule patient visits, evaluations, start-of-care visits, recertifications, and routine clinical visits according to patient needs and ordered frequencies.
  • Monitor clinician availability, geographic assignments, and caseloads to ensure efficient scheduling and appropriate coverage.
  • Communicate daily schedules, patient assignments, and schedule changes to clinicians and office personnel.
  • Contact patients and caregivers to confirm appointments and communicate changes in visit schedules.
  • Respond promptly to call-outs, cancellations, urgent scheduling needs, and unassigned visits.
  • Track outstanding visits and assist with preventing missed, late, or delayed clinical visits.
  • Coordinate with the Clinical Director, clinical managers, and office team regarding patient needs, staffing concerns, and scheduling conflicts.
  • Maintain accurate scheduling records and update the agency's electronic medical record (EMR) and scheduling systems.
  • Monitor visit frequencies and authorized services to help ensure compliance with physician orders, care plans, and agency policies.
  • Assist with daily scheduling reports, productivity tracking, and identifying gaps in clinical coverage.
  • Maintain patient confidentiality and comply with HIPAA requirements and agency policies.
