About The Position

Montage Orthopedics and Sports Medicine is seeking a Clinical Scheduler II at the Ryan Ranch location. This position is responsible for maintaining all aspects of the physician’s office and schedules as assigned. Responsibilities include providing back-up coverage as needed to coworkers and other physicians, scheduling all in-office appointments including new patient, post-op and pre-op appointments, in-office procedures, and out/inpatient procedures/surgeries. Reviews incoming referrals. Obtaining and initiating authorizations when required, verifying insurance eligibility, updating patient demographic information, ensuring proper pre-certifications, and obtains medical clearances. Position requires extensive telephone support. They are responsible for the reviewing and uploading of all surgical orders, H&P’s, and any other medical documentation required for surgery scheduling. Reschedules patients as needed to comply with physician’s schedule changes. Ensures all required radiology tests and operative reports are received in the office prior to a patient’s scheduled appointment date. Communicates effectively with each physician for patient messages. Maintains organization and proper handling of voicemail, text messages, incoming faxes, written messages, and referrals to ensure patient’s needs are met in a timely manner. As well as performing general office duties such as indexing medical records. In addition, the scheduler is expected to maintain effective communication with physicians, hospital, ambulatory surgery center, vendors, patients, and other staff, while adhering to safety protocols and safeguarding patient confidentiality. This role requires attention to detail, efficiency, and the ability to work in a team-oriented environment. The scheduler is expected to conduct themselves professionally and carry out other duties as assigned by management. Position maybe eligible for remote work on administrative days when primary physician is not in clinic upon management review.

Requirements

1–2 years of administrative, office, hospitality, customer service, medical office, or medical scheduling experience or training.
Strong understanding of filing systems, office machines, and general office equipment.
Well-organized.
Detail-oriented.
Excellent verbal and written communication skills.
Strong customer service abilities.
Professionalism when interacting with patients.
Capacity to work in a fast-paced environment with high call volumes.
Ability to multitask, adapt to changing priorities, problem-solve, and meet deadlines.
Ability to interpret documents such as safety rules, operating instructions, and procedure manuals.
Proper grammar and spelling in written correspondence.
Ability to type a minimum of 60 words per minute.
General knowledge of basic computer systems.

Nice To Haves

Experience with medical terminology—including familiarity with CPT and ICD-10 codes.
Solid understanding of the medical insurance process.
Knowledge of HIPAA regulations.
Proficiency with Microsoft applications.
Experience with electronic medical records (EMR) systems.
