About The Position

This Clinical Placement Specialist is responsible for managing the essential administrative, compliance, and logistical operations required for student clinical placements within the School of Nursing. Reporting to the Director of Clinical Academic Practice Partnerships, this role ensures data integrity and manages key software platforms, and effectively manages Complio and CORE-ELMS to support the School of Nursing’s ongoing operational efficiency, regulatory compliance, and clinical placement requirements. This position directly advances the University's strategic plan by supporting Student Success, effectively removing administrative barriers to ensure students are prepared for timely graduation and NCLEX-RN licensure readiness. The Specialist fosters academic excellence and community service by acting as a liaison between the University and clinical partners, maintaining rigorous compliance with California Board of Registered Nursing (BRN) standards to uphold the institution's commitment to developing skilled, compassionate nurse leaders.

Requirements

  • Bachelor's degree.
  • 2 or more years of experience in an administrative support or data coordination role.

Nice To Haves

  • 3 years of experience in an administrative support or data coordination role within higher education, nursing programs, or healthcare administration.
  • Proven, hands-on experience utilizing complex student tracking databases, customer relationship management (CRM) software, or electronic tracking portals.
  • Exceptional attention to detail with the ability to identify missing or expired documentation.
  • Strong written communication skills for coordinating student compliance.
  • A demonstrated commitment to maintaining strict confidentiality in accordance with FERPA and HIPAA standards.
  • Direct experience with Complio and CORE-ELMS.

Responsibilities

  • Manage student document logistics (immunizations, drug screens, certifications, background checks) to prepare audit-ready onboarding packets.
  • Audit records against criteria for hospital systems and the California Board of Registered Nursing (BRN).
  • Coordinate facility-specific paperwork, EMR access requests, and badging.
  • Serve as primary administrator for Complio, monitoring student profiles, flagging records, and alerting students and faculty about expiration dates to maintain compliance.
  • Manage CORE-ELMS as a super-user: Input schedules, build cohorts, and monitor clinical hour logs.
  • Maintain administrative data for Clinical Affiliation Agreements in CORE-ELMS and track renewals.
  • Build/distribute/track the completion of clinical site, preceptor, and Student evaluations through CORE-ELMS and compile summary data.
  • Act as the main point of contact for students and adjunct faculty facing technical issues or access errors within Complio and CORE-ELMS.
  • Act as the primary operator for regional placement portals.
  • Routinely monitor CCPS for approved, pending, or dropped placement slots, and utilize myClinicalExchange to submit finalized student rosters and required compliance documents directly to matching hospital units.
  • Assist the Director of Clinical Academic Practice Partnerships with data collection for accreditation and regulatory reporting.
  • Support major partnership events or meetings.
  • Provide support for major partnership events or meetings.
  • Perform other administrative and data-focused duties as assigned.
