About The Position

The Clinical Placement Coordinator is responsible for initiating and maintaining strong working relationships with educational programs, faculty, and teammates. This role manages the nuances between Atrium Health and educational programs to streamline efficiencies for both entities. The coordinator acts as a support and troubleshooter, providing guidance to student and educational program teams to ensure all required tasks are completed in a timely manner. Key responsibilities include managing credentialing requirements such as background and drug screenings, identifying red flags, verifying immunizations, conducting orientation, ensuring HIPAA compliance, and maintaining BLS/ACLS certifications. The role also involves initiating requests for ID badges, responding to daily inquiries via email and phone, and maintaining an up-to-date Clinical Education Affiliation Agreement (CEAA) database. This includes collaborating with the Clinical Education team and the enterprise legal department for new and renewing agreements. The coordinator facilitates the onboarding process with HR, IAS, and security to ensure necessary access to facilities and technologies, and maintains a list of active students, deactivating credentials upon completion of clinical experiences. Additionally, the role involves coordinating and tracking data for quarterly reports in ACEMAPP and other software, organizing student events, coordinating operational planning for shadowing and observing requests, and designing and implementing surveys for students and preceptors.

Requirements

  • Bachelor’s degree required or three years of related experience in lieu of bachelor’s
  • Four years of administrative experience
  • Two years of experience in the medical or related field
  • Computer proficiency with Microsoft Word, Excel, Outlook and Power-Point required
  • Possesses strong verbal and written skills, has a commitment to customer service.
  • Communicates effectively with all applicable customers and age groups.
  • Interpersonal skills to work effectively with all levels of staff, physicians, vendors, and the public.
  • Interacts with adults (services to patients not directly provided)

Responsibilities

  • Manages nuances between Atrium Health and educational programs to streamline efficiencies for both entities.
  • Acts as a support and troubleshooter by providing guidance to the student and educational program teams to ensure all required tasks are completed timely.
  • Manages credentialing requirements, including background and drug screenings, identifying red flags from Advantage Students or other reporting companies, verifying immunizations, conducting orientation, ensuring HIPAA compliance, and maintaining BLS/ACLS certifications.
  • Initiate requests for ID badges through the security team.
  • Respond to emails and phone calls from schools, students, and internal AH departments on a daily basis.
  • Maintains an up-to-date Clinical Education Affiliation Agreement (CEAA) database that is visible on the student placement portal or enterprise database.
  • Collaborates with the Clinical Education team and the enterprise legal department to initiate new affiliation agreements and to manage existing agreements that are due for renewal.
  • Facilitates the onboarding process with HR, IAS, and security to ensure access to necessary Atrium Health facilities and technologies for completing the desired clinical experiences.
  • Maintains a list of all active students and deactivates student credentials and access to Atrium Health facilities and technologies upon completion of clinical experiences.
  • Coordinate and track multiple data points to generate quarterly reports in ACEMAPP and other software for the student placement program at Atrium Health.
  • Organize student events that align with AH initiatives and strategic objectives.
  • Coordinate and facilitate operational planning for shadowing and observing requests related to medical student and Advanced Practice Provider (APP) requirements, managing these requests through ACEMAPP.
  • Help design and implement surveys for students and preceptors and analyze the results.
