About The Position

The Informatics Specialist provides operational, technical, and administrative support to the Clinical Informatics Department. This role assists with EHR-related tasks, technology troubleshooting, data entry, end user support, training logistics, and workflow documentation. The Informatics Assistant works closely with the Clinical Informatics Nurse Manager to ensure smooth operation of clinical systems, timely resolution of issues, and positive user experience for clinical and non-clinical team members. The typical schedule is Monday–Friday, with occasional after-hours, weekend, holiday, or on call responsibilities based on project and organizational needs.

Requirements

  • Proficient with use and troubleshooting of clinical software.
  • Must have a solid foundation and understanding of computers and technology.
  • Familiarity with EHR systems (CPSI/Oracle CommunityWorks experience is a plus).
  • Experience in a healthcare setting is preferred but not required.
  • Experience in Clinical Informatics/Information Technology is preferred.
  • Excellent communication skills are essential.
  • Completes and maintains all required education and/or training requirements.
  • Comply with HIPAA regulations and always maintains patient confidentiality.
  • Follows and maintains all lawful safety, health requirements, and regulations, and follows protocols for required protective equipment (PPE).
  • Promptly reports safety issues, job-related injury, or illness, near misses, etc. in SafetyZone.
  • Follows Hillsboro Health Standards of Behavior.

Responsibilities

  • Serve as a point of contact for basic EHR and clinical software questions.
  • Assist users with password resets, account access, basic navigation, and routine troubleshooting.
  • Document and triage issues to the Informatics Manager or IT department as appropriate.
  • Provide friendly, timely, and clear support to staff and providers.
  • Assist with system configuration tasks such as building user profiles, updating provider lists, updating access levels, or maintaining dictionaries.
  • Support data entry, validation, and cleanup activities.
  • Help maintain documentation related to workflows, training materials, and updates.
  • Prepare training materials, sign in sheets, guides, and instructional resources.
  • Assist with new hire onboarding by setting up user accounts, scheduling training, and providing system orientation.
  • Support informatics projects by gathering information, preparing documents, updating tracking sheets, and coordinating meetings.
  • Serves as a member of the EHR Steering Committee.
  • Participate in workflow reviews and document current state and future state processes.
  • Assist in testing new features, system upgrades, or configuration changes and document findings.
  • Help maintain communication logs, meeting minutes, and project updates.
  • Communicate with software vendors to ensure system performance, advocate for enhancements, and resolve issues.
  • Assist with distributing announcements, upgrade notices, tip sheets, or alerts to staff.
  • Work collaboratively with IT, Quality, Nursing, and other departments to support technology initiatives.
