About The Position

The Clinical Coordinator Float is a full-time position responsible for overseeing day-to-day clinic activities and schedules to ensure efficient delivery of services, reduce patient wait times, and minimize overtime expenses. This role involves interaction with administrative and clinical staff, assisting physicians, managing patient scheduling for surgeries and appointments, and ensuring regulatory compliance. The position requires strong organizational, communication, and leadership skills to manage clinical risk, patient concerns, and physician schedules.

Requirements

  • High School Diploma or equivalent.
  • Nationally Registered Medical Assistant Certification required (must be obtained within 6 months of hire and/or must be kept current).
  • Minimum of two years clinical experience.
  • Clinical knowledge.
  • Familiarity with automated practice management systems such as Athena.
  • Familiarity with health insurance requirements as it relates to medical reimbursement (i.e., deductibles, co-pays, etc.).
  • Strong leadership and effective communication skills.
  • Excellent planning, organization, and management skills.
  • Ability to multi-task.
  • Ability to work in a fast-paced work environment.
  • Demonstrates team cooperation.
  • Requires prolonged standing, sitting, stretching, and some bending.
  • Requires eye hand coordination and manual dexterity sufficient to operate a keyboard, photocopies, telephone, and other equipment.
  • Requires normal range of hearing and eyesight to record, prepare and communicate appropriate information to patients and team members.

Responsibilities

  • Interact with administrative and clinical staff to ensure maximum utilization of resources and efficient delivery of services.
  • Oversee day-to-day clinic activities and schedules to reduce patient wait times and overtime expenses.
  • Assist physicians to ensure clinic runs smoothly and on time.
  • Schedule patients for surgery and advise them of pre-surgical requirements.
  • Review surgical documents with patients.
  • Advise patients of co-payment, co-insurance, or other out-of-pocket expenses and refer to a financial counselor when necessary.
  • Maintain surgical schedule and serve as liaison between staff and authorization department.
  • Enter surgical/clinical charges into Athena or direct charge tickets to reception specialist.
  • Coordinate scheduling of patient’s tests and follow-up appointments.
  • Document patient phone calls, prescription refill messages, and obtain physician signature.
  • Manage clinical risk issues for patients/physician.
  • Ensure patient phone calls are retrieved and returned in a timely manner.
  • Monitor and work “Hold” buckets on Athena Dashboard and assist Professional Reimbursement Department on resolving open claims.
  • Address concerns and/or complaints from patients, vendors, and staff members, escalating to the Clinical Services Manager as needed.
  • Analyze average patient wait times and make recommendations for improvement.
  • Communicate with staff and physician regularly to ensure quality of service and meet physician and patient needs.
  • Coordinate physician personal and meeting schedules, including solutions for scheduling conflicts.
  • Coordinate On-Call rounding lists of patients.
  • Ensure regulatory compliance and report any issues to the Clinical Services Manager.
  • Maintain regular and consistent attendance.
